Send a meeting request or e-mail message from a group schedule

Outlook for Office 365, Outlook 2019, Outlook 2016, Outlook 2013, Outlook 2010

You can view the schedules of calendar group members, and then send a meeting request or email message to the group.

To send a meeting request to some members of the group

  1. In your calendar, find the calendar group in the navigation pane and then select the members that you want to include.

  2. On the Home tab, click New Items and then select E-mail Message or New Meeting with All.

  3. Complete and send your email message or meeting request.

    The message or request will be sent to only the group members that you selected.

To send a meeting request to all members of the group

  1. In your calendar, select the calendar group in the navigation pane.

  2. On the Home tab, click New Items and then select E-mail Message or New Meeting with All.

  3. Complete and send your email message or meeting request.

    Because you selected the entire calendar group, the message or request will be sent to all group members.

  1. In Calendar, on the Actions menu, click View Group Schedules.

  2. Select the group schedule that you want, and then click Open.

  3. Do one of the following:

    To send a meeting request or email message to some members only

    1. Select the group members that you want to include.

    2. Click Make Meeting, and then click either New Meeting or New Mail Message.

    3. Complete and send your meeting request or email message.

      The message or request will be sent to only the group members that you selected.

    To send a meeting request or email message to all members

    1. Click Make Meeting, and then click New Meeting with All or New Mail Message with All.

    2. Complete and send your meeting request or email message.

      Because you selected the entire calendar group, the message or request will be sent to all group members.

    To send a request to resources

    1. Select the group members that you want to use as resources.

    2. Click Make Meeting, and then click New Meeting as Resource.

    3. Complete and send your meeting request.
