Adding a cover page and table of contents to a document gives the document a polished look and a professional touch. Once you save the final document, you usually want to distribute it to a wider audience, such as the entire company. There are two easy ways to do this. You can share the document from your team library to everyone in the organization and give them View permission. And if you use Yammer, you can post the document to the All Company group.

  1. Click Insert > Cover Page > Integral.

  2. Click References > Table of Contents > Automatic Table 1.

Save the Word document as a PDF file

  1. Click File, Save As, and locate the team library, for example, Sites-Contoso.

  2. In the Save As Type box, select PDF, and then click Save.

Share the PDF document with everyone in the organization

  1. Click Open Menu (…) next to the PDF file.

  2. Click SHARE.

  3. In the Share dialog box, click Invite people.

  4. Make sure to click Can view so everyone can read it, but no one can make changes.

  5. Type Everyone except external users.

  6. Make sure the permission setting is Can view.

  7. Click Share.

  1. Click Open Menu (…) next to the PDF file.

  2. Click POST.

  3. If this is your first time accessing Yammer, sign in.

  4. Click POST.

My document is almost ready. It just needs a few finishing touches before I can publish it.

I’ll add a cover page and a table of contents. Then I save the Word document as a PDF file in the same team library as the original Word doc.

I click File, Save As, and Sites-Contoso twice. In the Save As Type box, I select PDF, and then click Save.

It’s easy to share the PDF document with everyone in the organization by emailing the file location.

In the team site document library, click the Open Menu next to the PDF file, and click Share.

In the Share dialog box, I click Invite people, and type "Everyone except external users." I make sure to click Can View so everyone can read it, but no one can make changes. Then I click Share.

Since everyone here is on Yammer, I'm going to post it to the company group. Click the Open Menu next to the PDF file, click Post, accept the default Yammer group, All Company, and then click Post.
