Share and move conversations in Viva Engage

You might want to move a message at times, or post the same message to a new Viva Engage community. Move or share conversations in the community you wish, and with the people you want.

How to move conversations

  1. Find the message in the conversation you want to move.

  2. In the first message, select the More menu More icon for dropdown menu in Yammer conversations, and select Move.

  3. Select the destination community.

  4. Click Move Conversation to move it to the new community.

You'll see a banner that confirms that the conversation has been moved.

The conversation also makes note of who moved the conversation, where it was moved from, and to what location.

How to share conversations

  1. Under the message, click Share.

  2. Select Share to Community or Share to Private Message, and choose the designated community or individual.

  3. Add a comment.

  4. Select Share. A preview of the message is posted to the individual or community feed with a link to the conversation.

FAQ

Moving conversations

Q: Who can move a conversation?

A: Any user with access to a conversation can move it.

Q: Who can see the conversation after it's moved?

A: All conversation participants before the move and all users with access to the new community can see the conversation after it's moved.

Q: Are files in the conversation moved to the new community?

A: No, files remain in the original community, but links to the files still appear in the conversation in the new community.

Q: After a conversation has been moved to another community, who can access files attached to it?

A: Everyone has access to files in conversations that are moved between public communities. If a conversation was moved from a private community, only members of the community that the conversation was originally posted to will have access to its files. If the conversation is moved back, anyone currently participating in the conversation (regardless of community membership) and all the original private community's members will have access.

Q: Will the post I move remain in the old community?

A: No, the post is only in the community where it's moved. It's not copied into both.

Q: Can you move a conversation to more than one community at a time?

A: No, you can only move from one community to another community.

Q: Can you move a conversation again after it's been moved?

A:  Yes, conversations can be moved multiple times.

Q: What if I make a mistake and send it to the wrong community?

A:  You can move it again to a different community.

Q: Which conversations can be moved?

A: All conversations in public and private communities can be moved.

Q: Where can conversations be moved to?

A: Users can move conversations to any community they have access to (public or private).

Q: Can you move conversations in external communities?

A: No.

Q: Will users be notified if a conversation is moved?

A: Yes, all users involved in the conversation get an inbox notification. A system message is added to the conversation when it is moved. The message includes who moved the thread, where it was moved from, and where it was moved to.

Q: Can you move announcements?

A: No.

Sharing conversations

Q: Who can I share a conversation or file with?

A: You can share a conversation with anyone in your Viva Engage tenant.

Q: Can I share a conversation with someone in an external tenant?

A: No. You can't share a conversation outside the tenant.

Q: Can I share a private message with another private message or community feed?

A: No. You can't share a private message. However, you can add more members within the tenant to your private message.

Q: How many times can I share a conversation?

A: There's no limit.

Q: When I share, am I sharing a message, the whole conversation, or both?

A: When you share a conversation with a community, the specific message that you share will appear in the other community's feed, together with a link back to the original conversation. Although members of the community where you're sharing will see the only specific message, a link back to the conversation will accompany the message.

Q: Will replies to shares occur in the original conversation?

A: No. A share in many ways functions like a forwarded email message in the way that it creates its own, new version of the message. When you share a conversation, the message that you share becomes a conversation starter in the community with which you're sharing. The only connection to the original message will be a link back to the original message.

Q: What happens when I share a message from a private community with a public community?

A: Messages from private communities can be shared, but only members of the private community can view the full conversation. Nonmembers see only the specific message that's shared.

Q: Can I share a conversation externally?

A: You can't share a conversation outside your organization.

Q: What is View Shares?

A: View Shares shows you a list of all the locations to which a message is shared. This is indicated by an icon next to the message.

Q: In View Shares, can I see the names of private communities to which I don't belong if a message is shared with the communities?

A: No. You can see only the names of the communities to which you belong or that are public and are listed under shared conversations.

Q: How can I share a conversation with someone who isn't located on Viva Engage?

A: To share a conversation with someone who isn't located on Viva Engage, share the conversation through private message, and then type the email address. That person will receive a Viva invite email message that states you shared a message with them.

Note: You can enter the email addresses only of people using an official organization domain.
