Use OneDrive on Windows 10 devices (XBox One, HoloLens, Surface Hub, or tablets)

This article is for version 19.X and later of the OneDrive app for Windows 10. Which OneDrive app?

The OneDrive app for Windows 10 devices has been updated to give you a better experience, improve performance, and allow us to bring you new features faster than ever before.

The new version is rolling out to desktop computers over the next few weeks and will be available to existing customers as an automatic update. If you use the previous app on devices such as Xbox, Surface Hub, or HoloLens, you can expect the update later in 2019.

Note: Because support for Windows 10 Mobile has ended, you won’t be able to use the new app on Windows phone. You can continue to use the previous version of the app (version 17.30.3.X), which will continue to be available.

Changes from the previous version (17.30.3.X) to the latest version (19.X) of the app include:

  • A modern experience that more closely aligns with what you get on the OneDrive website today, including improved interaction with files and associated actions such as selecting multiple files, moving and copying files, and choosing different views.

  • A new Downloads pane where you can see and launch downloaded files in your default app.

  • Better previews for your files and photos.

  • You can sign in with just one OneDrive for Business and one OneDrive personal account at a time. 

  • Making files available offline is no longer supported. Read Working offline.

Note: Because OneDrive.com is blocked in China by the government firewall, the OneDrive app for Windows 10 won't work in China when you sign in with a Microsoft account. If you've been using the previous app, we recommend that you switch to syncing files with OneDrive in Windows.

To add a personal account, enter your Microsoft account on the sign-in page. To add a OneDrive for Business account, enter the email address you use for your company, school, or other organization.

Notes: 

  • In the newer versions of the app, only one personal account and one OneDrive for Business account are supported at once.

  • If you have a problem signing in with your work or school account, try signing in at OneDrive.com or contact your IT department.

  • To change or reset your OneDrive password, sign in to your account online at account.microsoft.com/security.

You can have both a personal account and OneDrive for Business account. To add an additional account:

  1. Open the OneDrive app and select My Accounts in the upper right of the screen.

  2. Select Add an account.

  3. Select either Microsoft account (Outlook.com, Hotmail, Live.com, MSN) or Work or school account (Assigned by your organization), then select Continue.

  4. On the sign-in screen, enter the email address and password you use for either your Microsoft account, or for your company, school, or other organization.

    When your organization uses SharePoint 2013, SharePoint Server 2016, or SharePoint Server 2019, the sign-in process is different from Office 365. On the sign in screen, select Have a SharePoint Server URL? Then enter the web address of your SharePoint server to continue the sign-in process. The web address, also known as a URL, may look like http://portal.

Notes: 

  • For you to sign in to OneDrive for Business, your organization needs to have a qualifying SharePoint Online or Office 365 business subscription plan, or your organization needs to have its own SharePoint Server deployment.

  • You cannot sign in with multiple work or school accounts from the same organization.

If you have a problem signing in with your OneDrive for Business account, try using your phone's web browser to sign in at https://portal.office.com/onedrive, or contact your IT department.

Your OneDrive app in Windows 10 lets you sign in to your personal OneDrive and your OneDrive for Business accounts and then switch between the accounts you've added.

Select My Accounts at the upper right of the screen, and then select the account you want to use.

Note: To add another account, select Add an account

Use the same process to upload and save any file type in the OneDrive app, including documents, photos, videos, and music files.

  1. In the OneDrive app, in the folder where you want the photos added, select Upload.

  2. If you want to upload individual files, select Files. If you want to upload an entire folder instead, select Folder.

  3. On a Windows 10 PC, the Open dialog box shows files on your PC. Browse to the files you want to upload and select Open. If you want to upload a folder, browse to the folder you want to upload and select Select Folder.

You can search for file or folder names, text within files, and even text and tags in photos. To do so, type the phrase you want in the Search box located at the top of the screen, and select Submit search.

You can add folders in the Files Files icon for OneDrive app for Windows 10 view, or inside any other folder in OneDrive.

  1. In the OneDrive app when you're signed in with a Microsoft account, in the Files Files icon for OneDrive app for Windows 10 view, select Folder. (When you're signed in with a work or school account, in the Files view, select New, and then select Folder.)

  2. Enter a name for the new folder, then select Create.

  1. In the OneDrive app, select the check box of one or more files you want to move, then select Move to.

  2. In the pane that appears, under Move item to, select the folder you want to move the files to, and then select Move.

    (When you're signed in with a work or school account, under Places, select Your OneDrive, select the folder you want to move the files to, and then select Move here.)

    Tip: To create a new folder for the files you're moving, select New folder.

In the OneDrive app, open the folder you want to sort, select Sort in the upper right, and then select how you want to sort. You can sort by name, date, or size.

  2. Select the check box of the files you want to recover, then select Restore.

Files deleted from OneDrive are kept in the OneDrive recycle bin for 30 days for personal accounts. The files can be restored to OneDrive before then, or you can permanently delete them from your OneDrive.

  1. Select Menu Menu icon for OneDrive app for Windows 10 > Recycle bin Recycle bin icon for OneDrive app for Windows 10 .

  2. In the Recycle Bin view, select Empty recycle bin.

    (To permanently delete individual files, select the files, and then select Delete.)

Note: If your recycle bin is full, the oldest items will be automatically deleted after three days. If you're signed in with a work or school account, items in the recycle bin are automatically deleted after 93 days, unless the administrator has changed the setting. See more information about how long deleted items are kept for work or school accounts.

  1. In the OneDrive app, select the check box of the files that you want.

    Note: OneDrive on Windows Phone currently doesn't let you download OneNote notebooks.

  2. Select Download. (You can also select and hold the files you want to download, then select Download.)

  3. To find the files you downloaded, in the Downloads pane that appears when your download starts, select Open downloads folder.

Note: If you select multiple files, they will download together as a single zipped folder. All files will download to the app downloads folder (a sub-folder within the Downloads folder on your computer).

In the OneDrive app, select the check box by the file or folder you want to share and select Share.

OneDrive - Business

To share with a few specific people, add their email addresses, add a message if you want, then select Send. The specified users will get an email with the link to the shared file.

To share with a large number of people, such as in social media or a blog post, select Copy link.

If you want, you can also send the sharing link directly as a mail by selecting Outlook.

OneDrive - Personal

To share files by sending the link via email, select Email, add the email addresses along with message if you want, then select Share.

To share with a large number of people, such as in social media or a blog post, select Get a link, and copy the link to use wherever you want to.

When someone shares a OneDrive file or folder with you, you typically get an email message or a notification on your Windows device. To find the files shared with you in the OneDrive app, select Menu  Menu icon for OneDrive app for Windows 10 > Shared Shared icon for OneDrive app for Windows 10 .

The Shared view includes files shared with you, and files you've shared with others. When signed in with a personal OneDrive account, select a sharer's name to find the files shared by that person.

Note: The Shared view looks different when you're signed in with a work or school account. See files shared with you in OneDrive for more info.

Working offline is not currently supported in the newer versions of the app (version 19.X and later). However, the local copies of your files are still available to you. 

During upgrade to the newer version, your offline files are copied into the Downloads folder for the app. You can find all your files marked for offline use in the previous version of the app in a folder titled "OneDrive Offline files." Here's how to find it:

  1. Open File Explorer.

  2. In the Downloads folder, you'll find a OneDrive Offline files folder that contains the copies of any files that were originally saved for working offline.

    The folder won't be there if you didn't have any files saved for offline work.

Dark mode is supported from version 19.22.5 onward. The app picks your Windows setting by default, but you can choose to set a specific mode.

  1. Select Settings & More Settings and More icon for OneDrive app for Windows 10 > Settings.

  2. Pick the option you want under Dark mode:

    1. Select Light to use the standard bright mode.

    2. Select Dark to use the dark mode.

    3. Select Use my Windows mode to have the app pick a mode chosen for apps on your system.

In the OneDrive app, select Settings & More Settings and More icon for OneDrive app for Windows 10 > Settings. On this page, the total storage available and current utilization is shown.

To sign out of a personal OneDrive account or a OneDrive for Business account, open the app, select My Accounts. Sign out options are available under each added account. Identify the account you want to sign out of, and then select Sign out.

First, update your Windows device. Then, make sure you've installed any available updates to the app. They'll be downloaded and installed automatically when you're on Wi‑Fi. To see available updates that haven't downloaded:

  1. Open the App Store, and then select Updates.

  2. If updates are available, select Update All.

If you still have problems with the app, try deleting it and then going to the App Store to download it again.

If you don't see a file you're looking for in the app, see Find lost or missing files in OneDrive.

On the OneDrive app, select Settings & More Settings and More icon for OneDrive app for Windows 10 > Feedback. Select the nature of feedback you would like to provide, enter your comments in the text box, then select Send.

You can use some keyboard shortcuts to quickly navigate the different views on the OneDrive app.
