Use Actions in groups in Kaizala

Users can communicate with other users in various ways on Microsoft Kaizala. In addition to sending text messages, they can use Actions such as create a job, survey, or poll or send pictures, videos, audio messages, and documents as attachments. Users can also like or comment on Actions and attachments.

Add or remove Actions from a group

To access Actions:

  1. In the group conversation, in the chat box at the bottom of the page, tap Image of the Add Attachment icon in Kaizala .

  2. The available actions are listed in the first row.

  3. To discover more actions:

    • Tap Add More+ at the upper right.

    • Or, tap Discover Image of the Discover tab in Kaizala > Kaizala Actions to access a full list of available actions.

A few Kaizala actions are added by default to any group you create. You can remove some of these or add other actions to all your groups for quicker access.

To add an action to a group:

  1. Tap Discover Image of the Discover tab in Kaizala > Kaizala Actions.

  2. Actions that are already in your palette will display this icon Image of the Actions Palette icon in Kaizala in the upper right corner.

  3. Tap the Action that you want to add to your palette, and then tap Add to chats.

To remove an action to a group:

  1. Tap Discover Image of the Discover tab in Kaizala > Kaizala Actions.

  2. Actions that are already in your palette will display this icon Image of the Actions Palette icon in Kaizala in the upper right corner.

  3. Tap the Action that you want to remove from your palette, and then tap Remove from chats.

Available Actions

The following table shows the available Actions in Kaizala and describes how to use them in conversations. For more information, see Use Kaizala actions. You can also create custom actions by using the Kaizala management portal.

Payment

Lets you send and request payments using the BHIM UPI platform.

Announcement

Lets you make key announcements or share updates with all group members.

In the group conversation, tapAnnouncement > enter a title and description > tap Send.

You can also attach photos and videos in announcements.

Job

Lets you assign tasks to people and track completion status.

In the group conversation, tap Job > add a description, set the date, assign to a group participant > tap Send Job.

If you have been assigned a job, you can update your status regularly. As job creator, you can track everyone’s job status. Tap the card to view a list of updates.

Let's Meet

Lets you plan and set up new meetings and invite other participants to join the meeting.

In the group conversation, tap Let’s Meet > add a title, set the date, duration, place, and agenda > tap Send.

To check participant responses to your invite, tap the card to see a detailed list of responses from the All Responses section.

Quick Poll

Lets you ask a question and get people’s opinion.

In the group conversation, tap Quick Poll > enter a question, add choices, and set the expiry time > tap Send. You can choose to make responses visible to all users.

To check poll responses, tap the card to see a detailed list of users and their responses from the All Responses section. You can choose to export these results in a CSV file.

Photo with Location

Lets you share a picture that includes your current location.

In the group conversation, tap Photo with Location > allow Kaizala to access your media files > take a picture using your camera > select the location.

Note that you cannot select an existing picture for this action.

Survey

Lets you ask a series of questions and get people’s opinion.

In the group conversation, tap Survey > add a title and description > tap Next > tap Add a question > choose a response type > fill in the information > add more questions if needed > tap Next > tap Send.

You can choose to make responses visible to all or even allow multiple responses from same user.

To check survey responses, tap the card to see a detailed list of users and their responses from the All Responses section. You can choose to export these results in a CSV file.

Attendance

Lets you mark attendance with location and photo.

In the group conversation, tap Attendance > enter date and time > tap Send Request.

To check everybody’s attendance, tap the card to view a detailed list from the All Responses section.

Checklist

Lets you create shared to-do lists and collaborate with friends and colleagues.

In the group conversation, tap Checklist > enter a name and a list of items > tap Send.

Users can mark off items in the checklist as completed by clicking Update Now. To check the status of items, tap the card and check the Status section.

Live Location

Lets you request a user to share their live location and help people find their way.

In the group conversation, tap Live Location > select a contact > add a comment at the bottom, if needed > tap Send.

When a user begins sharing their location, the card is updated with the status “x of y people have shared their location.” Tap the card to track their path.

Request Location

Lets you request that all group participants to share their location.

In the group conversation, tap Request Location, and the action is published.

When group participants begin sharing, you can track their progress on a map. When the location is shared, the card is updated with the status “x of y assignees have responded.” Tap the card to view the location.

Training

Lets you publish training materials for your team and track completion status.

In the group conversation, tap Training > enter a title and description > tap Next > tap Add Content > choose type of content and select content > tap Next > review settings > tap Send Training.

Send reminders for Actions

For some of the Kaizala Actions, such as Job, Quick Poll, Survey, Attendance, Checklist, Quiz, and Training, you can send reminders to users so that they respond or act.

To send a reminder:

  1. Tap the published action in your conversation.

  2. Tap Remind people to respond at the bottom of the page.

Check completed and pending actions

You can easily track the status of Actions that you have received and sent.

To review your Actions:

  1. From the Chats list, tap Me Image of the Me tab in Kaizala , and then tap Pending Actions.

  2. Select an Action type: The Received tab lists the Actions that you have received, and the Sent tab lists the Actions you have sent.

  3. By default, both of these lists are filtered to show incomplete or pending items. To set different filters, tap More Image of the More icon in Kaizala .
