This article is for people with visual impairments who use a screen reader program with the Office products and is part of the Office Accessibility content set. For more general help, see Office Support home.

Use To-Do for iOS with VoiceOver, the built-in iOS screen reader, to create lists of things to-do for a specific project, timeline, or routine. You can also edit, change the design, and organize the lists. Later you can delete them when you no longer need them.

Notes:

  • This topic assumes that you are using the built-in iOS screen reader, VoiceOver. To learn more about using VoiceOver, visit Apple accessibility.

  • This topic assumes that you are using an iPhone. Some navigation and gestures might be different for an iPad.

Create a list

Create a list of to-do items for the tasks you want to complete for, for example, a specific day or project.

  1. In To-Do, to go to the Sidebar view, swipe left until you hear: "Sidebar button." Double-tap the screen to select.

  2. To create a new list, swipe right until you hear: "New list button." Then double-tap the screen to select. A new untitled list is created and the focus moves to the list name field.

  3. To edit the new list name, type the name using the on-screen keyboard. To go to the keyboard, swipe right until you hear: "Q."

    Tip: You can also find the keyboard by exploring the items on the screen. To explore, place a finger on the screen and drag it around. VoiceOver announces the items as you land on them. To select an item, lift your finger and double-tap the screen.

  4. After typing the name, to save the new list, swipe left until you hear: "Done button." Double-tap the screen to select. The new list is saved.

Search for tasks

Use the Search option in the Sidebar view to quickly find a task in your to-do lists.

  1. In To-Do, to go to the Sidebar view, swipe left until you hear: "Sidebar button." Double-tap the screen to select.

  2. To search for a task, swipe right until you hear: "Search button." Then double-tap the screen to select. The Search menu opens, and the focus moves to the Search field.

  3. Type a search word using the on-screen keyboard. To go to the keyboard, swipe right until you hear: "Q." After typing the word, swipe right until you hear: "Search." Double-tap the screen to select.

  4. To navigate to the search results list, swipe left until you hear a result. To move in the search results list, swipe right or left. VoiceOver announces the to-do item, the status (completed or not completed) and the list to which it belongs as you move.

  5. To enter the Task List view of a list, navigate to the item and then double-tap the screen.

Rename a list

Use the List options menu, to rename a list that you have created.

Note: Renaming lists is only applicable for lists you have created. My Day and To-Do default lists cannot be renamed.

  1. In To-Do, to go to the Sidebar view, swipe left until you hear: "Sidebar button." Double-tap the screen to select.

  2. To go to a list, swipe right until you hear the list you want to rename. VoiceOver announces the available lists as you move. To select the list, double-tap the screen. The Task List view opens.

  3. To open the List options menu, swipe right until you hear: "List options button." Double-tap the screen to select. The List options menu opens. You hear: "Rename list button."

  4. To rename the list, double-tap the screen. The focus moves to the list name field. Use the on-screen keyboard to edit the list name. To go to the keyboard, place a finger on the screen and drag it around until you hear a keyboard item.

  5. After typing the new list name, to save and close the keyboard, swipe right until you hear: "Done." Double-tap the screen to select.

List themes

Change the theme of a list and its background colour to fit the design you want.

Note: Changing the theme is not available for My Day default list.

  1. In the Task List view, open the List options menu of the list you want. To open List options, swipe right until you hear: "List options button." Double-tap the screen to select. The List options menu opens.

  2. To go to the Change theme submenu, swipe right until you hear: "Change theme button." Then double-tap the screen to select. The Theme menu opens.

  3. To select a background color, swipe right until you hear the color you want, and then double-tap the screen. VoiceOver announces the colours as you move. The currently selected colour is identified as "selected."

  4. To select a theme, continue to swipe right until you hear the theme you want, and then double-tap the screen. VoiceOver announces the themes as you move. The currently selected theme is identified as "selected."

  5. After selecting the new background color or theme, to save and close the Theme menu, swipe left until you hear: "Done button." Double-tap the screen to select.

Show/hide completed tasks

By default, both completed and not completed tasks are shown on your lists. To help you organize your lists, you can hide completed tasks.

Note: Hiding completed tasks from a list is not available for My Day default list .

  1. In the Task List view of the To-Do list you want to hide completed tasks, open the List options menu. To open List options, swipe right until you hear: "List options button." Double-tap the screen to select. The List options menu opens.

  2. To hide completed tasks, swipe right until you hear: "Hide completed to-do items button." Then double-tap the screen to select.

  3. The List options menu closes, and only the not completed tasks are displayed in the Task List view.

  4. To show hidden completed tasks, in List options menu, swipe right until you hear: "Show completed to-do items button." Then double-tap the screen to select.

Sort tasks

Sorting a list can help you organize and find your to-do items more efficiently.

Note: Sorting lists is not available for My Day default list .

  1. In the Task List view, open the List options menu of the list you want to sort. To open List options, swipe right until you hear: "List options button." Double-tap the screen to select. The List options menu opens.

  2. To go to the Sort submenu, swipe right until you hear: "Sort button." Then double-tap the screen. The Sort menu opens.

  3. To select a sorting option, swipe right until you hear the option you want, then double-tap the screen to select. VoiceOver announces the options as you move.

  4. After selecting a sorting option, the Sort menu closes, and the focus moves on the Task List view.

  5. To remove sorting from a list, in the Task List view, swipe right or left until you hear: "Remove sorting button." Then double-tap the screen.

Delete a list

When you no longer need a list you have created, you can quickly delete it.

Note: Deleting lists is only applicable for lists you have created. My Day and To-Do default lists cannot be deleted.

  1. In the Task List view, open the List options menu of the list you want to delete. To open List options, swipe right until you hear: "List options button." Double-tap the screen to select. The List options menu opens.

  2. To delete the list, swipe right until you hear: "Delete list button." Then double-tap the screen.

  3. A confirmation window opens, and you hear: "Are you sure you want to delete this list forever?" To confirm, swipe right. You hear: "Delete list button." Double-tap the screen to select.

    If you want to cancel the deletion, in the confirmation window, swipe right until you hear: "Cancel button." Double-tap the screen to select.

Create a list

  2. To create a new list, swipe right until you hear "New list, out of list," and then double-tap the screen. A new untitled list is created and the focus moves to the list name field.

  3. Type the name of your list.

  4. Swipe down-then-left to close the keyboard.

  5. Swipe right until you hear "Save button," and then double-tap the screen.

The focus moves to the name entry field of the first task in the list view. To learn more about adding tasks, refer to Use a screen reader to work with tasks in To-Do.

Search for tasks

Use the search option in the sidebar view to quickly find a task in your to-do lists.

  1. To go to the sidebar view, swipe right or left until you hear "Sidebar button," and then double-tap the screen.

  2. To search for a task, swipe right until you hear "Enter search button," and then double-tap the screen. The search menu opens, and the focus moves to the Search field.

  3. Type a search word. The beginning of the word is enough.

  4. To navigate to the search results list, swipe right until you hear a result. A result starts with "To-do," followed by its name. To move in the search results list, swipe right or left.

  5. To open the details view of the currently selected result, double-tap the screen.

Rename a list

You can rename a list to suit your purposes better.

Note: Renaming lists is only applicable for lists you have created. My Day and To-Do are default lists and cannot be renamed.

  1. To go to the sidebar view, swipe right or left until you hear "Sidebar button," and then double-tap the screen.

  2. To go to a list, swipe right until you hear the list you want to rename, and then double-tap the screen. The list view opens.

  3. To open the list options menu, swipe right until you hear "More options button," and then double-tap the screen. You hear: "Menu expanded."

  4. Swipe right until you hear "Rename list," and then double-tap the screen. The focus moves to the list name field.

  5. Delete the previous name using the keyboard, and then type the new name.

  6. Swipe down-then-left to close the keyboard.

  7. Swipe right until you hear "Save button," and then double-tap the screen.

List themes

  3. To confirm the deletion, swipe right until you hear "Yes button," and then double-tap the screen.

    If you want to cancel the deletion, in the confirmation popup window, swipe right until you hear "Cancel button," and then double-tap the screen.

After deleting the list, the focus returns to the My Day list.

Learn how to navigate To-Do using accessible features

Use To-Do for Web with your keyboard and a screen reader to create lists of things to-do for a specific project, timeline, or routine. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques. You'll also learn how to edit, change the design, and organize the lists. You can even delete lists when you no longer need them.

  • When you use To-Do for Web, we recommend that you use Microsoft Edge as your web browser. Because To-Do for Web runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, you’ll use Ctrl+F6 instead of F6 for jumping in and out of the commands. Also, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not To-Do for Web.

  1. In To-Do, to create a new list, press the Tab key until you hear "New list button," and then press Spacebar to select. A new untitled list is created and the focus moves to the list name field.

  2. Type a list name, and then press Enter.

Search for tasks

Use the Search option in the Sidebar to quickly find a task in your to-do lists.

  1. In the Sidebar, to search for a task, press the Tab key until you hear "Search button," and then press Spacebar to select. The focus moves to the Search field.

  2. Type the search word you want. To-Do automatically displays the search results as you type.

  3. To navigate to the search results list, press the Tab key until you hear the first result. To move in the search results list, press the Tab key or Shift+Tab. As you move, your screen reader announces the task as "Task," followed by the task name. Completed tasks are announced as "Completed task," followed by the task name.

  4. To enter the details view of a task, when on the task, press Spacebar.

Rename a list

Use the List options menu, to rename a list that you have created.

Note: Renaming lists is only applicable for lists you have created. My Day and To-Do default lists cannot be renamed.

  1. In To-Do, to go to a list in the Sidebar, press the Tab key until you hear the list you want.

  2. To select the list you want to rename, press Spacebar. The Task List view opens.

  3. To open the List options menu, press Shift+Tab until you hear: "List options button."

  4. Press Spacebar. The List options menu opens.

  5. To rename the list, press the Tab key. You hear: "Rename list button."

  6. Press Spacebar. The focus moves to the list name field.

  7. Type the new list name, and press Enter. The list name is changed.

  1. In the Task List view, press Shift+Tab until you hear: "List options button."

  2. Press Spacebar. The List options menu opens.

  3. To delete the list, press the Tab key until you hear "Delete list button," and then press Spacebar to select.

  4. A confirmation dialog opens. To confirm the deletion, press the Tab key until you hear "Delete list button," and then press Spacebar to select it.

    If you don't want to delete the list, in the confirmation window, press the Tab key until you hear "Cancel button," and then press Spacebar to select it.
