Use a screen reader to show flagged emails as tasks in To Do

This article is for people with visual or cognitive impairments who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use To Do with your keyboard and a screen reader to show and manage your flagged emails as tasks in To Do. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

Notes:

  • This feature is only available if you’re using an account that’s hosted by Microsoft, such as an Outlook.com, Hotmail.com, or Live.com account. It’s also available if you’re using an account hosted by Microsoft but using a custom domain.

Show flagged emails as tasks

To show flagged email as tasks, create the Flagged email list.

 When you've created the Flagged email list, it's available in To Do on all your other devices.

  1. Sign in to To Do with the same personal, work, or school account that you use for email.

  2. Press the Tab key until you hear: "List navigation landmark."

  3. Press the Up or Down arrow key until you hear "Flagged email," and then press Enter.

  4. Press the Tab key until you hear "Create button," and then press Enter.

  5. The Flagged email option lists the set of tasks in the Flagged today button in the tree view. To collapse or expand a set of tasks, press Enter.

Navigate to the Flagged email list

When you've created the Flagged email list, flagged messages from the past 30 days will show up as tasks in the Flagged email list. Also, all messages that you flag in the future will appear as tasks in this list.

You can manage the tasks in the Flagged email list like any other tasks.

  1. Press the Tab key until you hear "Lists," followed by the name of the currently selected list.

  2. Press the Up or Down arrow key until you hear "Flagged email," and then press Enter.

  3. Press the Right arrow key to move to the first task in the Flagged email list view.

  4. To select the task and open it in the detail view, press Enter.

  5. To move in the detail view, use the Down and Up arrow keys.

  6. To exit the detail view and return to the Flagged email list view, press Esc.

To show flagged email as tasks, turn on the Flagged email list option.

 When you've enabled the list, it's available in To Do on all your other devices.

  1. Sign in to To Do with the same personal, work, or school account that you use for email.

  2. Press Command+Comma (,) to open the Preferences window.

  3. Press the Tab key until you hear "Connected apps, button," and then press Control+Option+Spacebar.  

  4. Press Control+Option+Shift+Down arrow key once, and then press the Down arrow key once. You hear: "Flagged email, unchecked checkbox." Press Control+Option+Spacebar to select the option.

  5. To exit the Preferences window, press Command+W.

    The focus returns to the To Do main view.

Navigate to the Flagged email list

When you've enabled the Flagged email list, flagged messages from the past 30 days show as tasks in the Flagged email list. Also, all messages that you flag in the future will appear as tasks in this list.

You can manage the tasks in the Flagged email list like any other tasks.

  1. In the To Do main view, press the Tab key until you hear "Lists table," followed by the currently selected list.

  2. Press the Down arrow key until you hear: "Flagged email." 

  3. Press the Tab key until you hear "Entering tasks table," and then use the Down and Up arrow keys to navigate the task list. The detail view of the selected task is displayed automatically.

  4. When on a task, to move to the detail view, press the Tab key once. You hear "Leaving tasks," and the focus is on the detail view.

  5. To move in the detail view, press Control+Option+Left or Right arrow key.

  6. To exit the detail view, press Control+Option+Right arrow key until you hear "Dismiss detail view, button," and then press Control+Option+Spacebar.

  3. Double-tap the screen. The Settings window opens.

  4. Swipe right until you hear: "Flagged email, Switch button, Off." Double-tap the screen to toggle the option on.

  5. To exit the Settings window and return to the sidebar menu, swipe left until you hear "Done," and double-tap the screen.

Note: It may take a while before the Flagged Email list is updated and shows flagged emails as tasks. You may have to sign out and close the app and then sign in again.

Navigate to the Flagged Email list

Once you've enabled the Flagged Email list, up to ten flagged messages from the past two weeks show as tasks in the Flagged Email list. Also, all messages that you flag in the future will appear as tasks in this list.

You can manage the tasks in the Flagged Email list like any other tasks.

  1. In To Do main view, swipe left until you hear "Sidebar," and double-tap the screen.

  2. Slide one finger down the screen until you hear "Flagged email," and double-tap the screen. The focus moves to the Flagged Email view.

  3. To browse the list, swipe right. You hear the title and details of the task.

  4. To select and open a task in the detail view, double-tap the screen. The tasks opens in the detail view.

  5. To move in the detail view, swipe right or left. To select, double-tap the screen.

    To exit the detail view and return to the Flagged Email list view, swipe left until you hear "Dismiss detail view," and then double-tap the screen.

Because To Do for the web runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, common shortcuts like F1 (help) and Ctrl+O (Open) apply to the web browser - not To Do for the web.
