Use a screen reader to move tasks between or within lists in To Do

This article is for people with visual or cognitive impairments who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use To Do with your keyboard and a screen reader to organize your tasks by moving them between lists. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

Notes: 

Move a task to another list

You can organize your task lists by moving tasks from one list to another.

  1. Press the Tab key until you hear "Lists," followed by the name of the currently selected list.

  2. Press the Up or Down arrow key until you hear the name of the list containing the task you want to move. Press Enter to open the list.

  3. To move to the task list content, press the Tab key until you hear "List options, button," and then press the Tab key once more. You hear "Task," followed by the first task name.

  4. Press the Up or Down arrow key until you hear the task you want to move.

  5. To open the context menu, press Shift+F10 or the Windows Menu key.

  6. Press the Up or Down arrow key until you hear "Move task to," and then press Enter.

  7. Use the Up and Down arrow keys to select the destination list, and then press Enter to move the task to the selected list.

    Note: The possible destination lists include the Tasks list and the lists you have created.

Use To Do for Mac with your keyboard and VoiceOver, the built-in macOS screen reader, to organize your tasks by moving them between lists.

Move a task to another list

You can organize your task lists by moving tasks from one list to another.

  1. Press the Tab key until you hear "Entering lists table," and then press Control+Option+Shift+Down arrow key to open the lists table.

  2. Press the Down or Up arrow key until you hear the name of the list containing the task you want to move.

  3. To move to the task list content, press the Tab key until you hear "Entering tasks table," and then press Control+Option+Shift+Down arrow key to open the tasks table.

  4. Press the Down or Up arrow key until you hear the task you want to move.

  5. To open the context menu, press Control+Option+Shift+M.

  6. Press the Up or Down arrow key until you hear "Move task to," and then press Control+Option+Spacebar.

  7. Use the Up and Down arrow keys to select the destination list, and then press Control+Option+Spacebar to move the task to the selected list.

    Note: The possible destination lists include the Tasks list and the lists you have created.

Move a task to another list

You can organize your task lists by moving tasks from one list to another.

  1. Swipe left until you hear "Sidebar." Double-tap the screen.

  2. Swipe right until you hear the name of the list containing the task you want to move. Double-tap the screen to open the list.

  3. Swipe right. You hear: "List options." Double-tap the screen.

  4. To enter the list edit mode, swipe right until you hear "Edit," and then double-tap the screen.

  5. Swipe right until you hear the task you want to move, and then double-tap the screen to select it.

    Tip: You can select multiple tasks to move to the same list.

Rearrange tasks within a list

You can organize your task lists by arranging the tasks in the order you want.

  1. Swipe left until you hear "Sidebar." Double-tap the screen.

  2. Swipe right until you hear the name of the list you want to organize. Double-tap the screen to open the list.

  3. Swipe right. You hear: "List options." Double-tap the screen.

  4. To enter the list editing mode, swipe right until you hear "Edit," and then double-tap the screen.

  5. For each task you want to rearrange within the list, do the following:

    1. Swipe right or left until you hear the task you want to move, and then swipe right. You hear: "Reorder," followed by the task name.

    2. To enable moving the task, double-tap the screen and hold. When you hear the audio cue, drag your finger up or down the screen until you hear the position you want to move the task to.

    3. When the task is at the position you want, lift your finger.

  6. When you have finished rearranging the list, to leave the list editing mode, swipe left until you hear "Cancel," and then double-tap the screen.

    2. Drag your finger up or down the screen and then lift your finger. TalkBack announces the new position of the task in the list.

  • When you use To Do for the web, we recommend that you use Microsoft Edge as your web browser. Because To Do for the web runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not To Do for the web.
