There are several ways to share a notebook, depending on your device and operating system.

Overview of using OneNote everywhere

Go to the section that’s appropriate for you to find out how to share a notebook with:

Note: You can’t share a notebook from OneNote for Android, OneNote for Windows phone, or OneNote for Windows 10. As an alternative, you can share a notebook from OneNote Online which is free to everyone.

Share a notebook with OneNote 2016 for Windows

There are two ways to share a notebook:

  • Invite people in email when you know the email addresses.

  • Create a sharing link when you want to post the link, for example in a blog.

Invite people in mail

  1. Open the notebook you want to share.

  2. Choose File > Share.

  3. Under Share with People, type the names or email addresses of people you'd like to share your notebook with.

  4. In the drop-down box on the right, choose whether each person can edit or just view your notebook.

  5. Add a personal note, if you'd like, and then choose Share.

The people you've selected will get an email invitation to open your notebook.

Create a sharing link

  1. Open the notebook you want to share.

  2. Choose File > Share > Get a Sharing Link.

  3. Next to View Link or Edit Link, choose Create Link.

Copy and then paste this link wherever your intended audience (for example, your blog readers) can see and click it to gain access to your notebook.

Share a notebook with OneNote 2016 for Mac

There are two ways to share a notebook:

  • Invite people in email when you know the email addresses.

  • Create a sharing link when you want to post the link, for example in a blog.

Invite people in mail

  1. Open the notebook you want to share.

  2. On the menu bar, click File, point to Share.

  3. Click Invite People.

  4. Enter the email addresses of the intended recipient

  5. To enable others to make changes to your notebook, select the Can Edit.

  6. Click Share.

The people you've selected will get an email invitation to open your notebook.

Create a sharing link

  1. Open the notebook you want to share.

  2. Click the list of notebooks next to the first Section tab, select a notebook, click the view notebook actions button, and then click Copy Link. The link is saved to the Mac Clipboard, but you may want to save it somewhere for future reference.

  3. Make the link available to others through email or on a Web site. People who click this link will be able to view and edit your notes.

Share a notebook with OneNote Online

There are two ways to share a notebook:

  • Invite people in email when you know the email addresses.

  • Create a sharing link when you want to post the link, for example in a blog.

Invite people in mail

  1. Open the notebook you want to share.

  2. Click File > Share > Share with People.

  3. In the left column, under Share, make sure Invite people is selected.

  4. In the To box, type the email address of the people you want to invite.

  5. In the box below, type a brief note for the recipient.

  6. To change the permissions to enable making changes, click Recipients can edit link

  7. Click Share.

Create a sharing link

  1. Open the notebook you want to share.

  2. Click File > Share > Share with People.

  3. In the left column, under Share, make sure Get a link is selected.

  4. Under Choose an option, do one of the following:

    • Click View only if you don’t want to allow others to make changes to your notebook.

    • Click Edit if you want to allow others to view your notebook and also make changes to it.

    • Click Public if the information in the notebook you’re sharing can be freely distributed worldwide without any security restrictions or authentication.

  5. Click Create link.

Copy and then paste this link wherever your intended audience (for example, your blog readers) can see and click it to gain access to your notebook.

Share a notebook with OneNote on the iPad

To share a notebook by sending a link:

  1. If you have a notebook open, tap Back arrow to go to the notebook list.

  2. Tap Notebooks.

  3. Open the notebook you want to share and then on the Notebook Options menu, tap Share Notebook.

  4. Choose whether the recipient can view or edit the notebook.

  5. In the email message that opens with a link to the notebook, enter the recipient’s email address and then send the message.

Tip: To email just a page, open the page, tap the Share icon Share , and then tap Email Page.

Share a notebook with OneNote on the iPhone

To share a notebook by sending a link to a notebook:

  1. Tap Notebooks.

  2. Open the notebook you want to share.

  3. Tap Action Action button > Share Notebook.

  4. Choose whether the recipient can View Only or View and Edit.

  5. In the email message that opens with a link to the notebook, enter the email addresses and then send the message.

Tip: To email just a page, open the page, tap Action Action button , and then tap Email Page.
