Schedule a Teams live event

If you are the organizer of a live event, you can schedule it in Teams the same way you schedule a regular Teams meeting.  This process will add the live event to your and your event group's calendars. After that, you'll need to invite the attendees.

  1. In Teams, click Meetings Meetings button on the left side of the app and then click Schedule a meeting.

  2. At the top of the dialog box, select New Meeting > New live event.

  3. Add the meeting title, date and time information, and other details.

  4. In the Invite people to your event group box, add the names of your event group—the people who will be presenting and moderating the event.

  5. Click Next.

  6. Under Live event permissions, pick the permission level for your attendees:

    Permission type

    Description

    People and groups

    The event can only be watched by people, contact groups, or Office 365 groups.

    Public

    Anonymous users from outside of your org will be most of your audience.

    Org-wide

    Everyone in your org and other companies can watch the live event.

  7. Under Live event production type, pick your production options.

    • For Quick start productions:

      Recording available for download

      A recording is available to producers for download for 180 days after the event is over.

      Video on demand

      Attendees can watch the event on demand using DVR options for 180 days.

      Q&A

      Attendees can interact with producers in a moderated Q&A.

    • For External encoder productions:

      Setting

      Description

      Recording available for download

      This is automatically checked and can't be unchecked. A recording is available to producers for download until the event is explicitly deleted in Microsoft Stream.

      Video on demand

      This is automatically checked and can't be unchecked. Attendees can watch the event on demand using DVR options until the event recording is explicitly deleted by the owner in Microsoft Stream.

      Q&A

      Attendees can interact with producers in a moderated Q&A.

      Note: The external encoder option is powered by Microsoft Stream and requires the organizer to have a valid Stream license.  

  8. Click Schedule to add the event to your and your event group's calendars.
