Page Setup dialog box, Legend tab

Use the Legend tab in the Page Setup dialog box to specify information to appear as legend in your printed view. This tab does not apply and is not available for reports. You can:

  • Specify a left, center, and right legend.

  • Add automatically generated page numbers, dates, and times to a legend.

  • Add specific fields of information to a legend.

Dialog box location

Display the view whose legend you want to set. On the File menu, click Page Setup, and then click the Legend tab.

Details

Preview section

Shows how the legend will appear with the options you selected.

Alignment section

Left    Shows the text or image to appear in the left portion of the legend. Enter text, click a formatting button, or select a field to enter into that portion of the legend.

Center    Shows the text or image to appear in the center portion of the legend. Enter text, click a formatting button, or select a field to enter into that portion of the legend.

Right    Shows the text or image to appear in the right portion of the legend. Enter text, click a formatting button, or select a field to enter into that portion of the legend.

Toolbar buttons

Font     Button image Opens the Font dialog box, which you can use to change the font, font size, color, and text style of the selected text in the legend.

Page number     Button image Inserts page numbers in the legend when you print the view.

Total pages     Button image Inserts the total number of pages in the printed view, and adjusts the page numbers automatically when you print the view. For example, if you want to use the format "Page 1 of 12," "Page 2 of 12" and so on, type "Page" in the box, click the Page number button, type "of", and then click the Total pages button.

Date     Button image Inserts the current date into the legend.

Time     Button image Inserts the current time into the legend.

File name     Button image Inserts the file name of the active project into the legend.

Picture     Button image Opens the Insert Picture dialog box, which you can use to select an image to insert into the legend.

Fields

General    Specifies the field to add to the legend. Select a field from the dropdown list, and then click Add. Project Title, Company Name, Manager Name, Subject, Author, and Keyword values come from the Summary tab in the Project Properties dialog box.

Add    Inserts the selected field in the General box into the selected area of the legend box.

Project fields    Specifies a project-level field, for example % Complete or Finish, to add to the legend. Select a field from the dropdown list, and then click Add.

Add    Inserts the selected field in the Project fields box into the selected area of the legend box.

Legend on section

Every page    Specifies that the legend be printed on every printed page. This is useful if you are printing to large sheets of paper. By default, this option is selected.

Legend page    Specifies that the legend be printed on a separate sheet. This is useful when you are printing to standard size paper.

None    Specifies that no legend should be printed.

Width    Specifies the width, in inches, of the text area of the legend. By default, the legend width is set to 2 inches.

Command buttons

Legend labels    Opens the Font dialog box, which you can use to change the font, font size, color, and text style of the selected text in the legend.

Print Preview    Displays the Print Preview window, which you can use to view the active view as it will appear when printed. Click Close to return to the current view.

Options    Opens the Document Properties dialog box, which you can use to select the paper tray, page collation, and other printer-controlled options. These options are specific to your selected printer. For more information, refer to your printer documentation.

Print    Opens the Print dialog box, which you can use to print the active view. You can specify the number of copies and which pages to print. If you are in a form view or the Relationship Diagram view, you must select a different view on the View menu before you can print.
