Keyboard shortcuts in Outlook on the web and Outlook.com

In Outlook on the web and Outlook.com, you can use the keyboard shortcuts from Outlook.com, Yahoo Mail, Gmail, or Outlook. This article describes the shortcuts that are available if you choose Outlook and refers to the U.S. keyboard layout. The layout of the keys on other keyboards may not correspond exactly to the keys on a U.S. keyboard.

To change which version of keyboard shortcuts you're using:

  • In Outlook.com and the new Outlook on the web, select Settings Settings > View all Outlook settings > General > Accessibility.

  • In classic Outlook on the web, select Settings Settings > Mail > General > Keyboard shortcuts.

To see a full list of keyboard shortcuts that are available in the version you choose, press Shift+? on your keyboard.

Frequently used keyboard shortcuts

The following keyboard shortcuts are the ones used more frequently by people who choose the Outlook version of shortcuts.

Text editing keyboard shortcuts

The text editing keyboard shortcuts available in Outlook on the web and Outlook.com are the same as those available with other Microsoft products.

Copy your selection to the Clipboard.

Ctrl+X

Cut text you selected.

Backspace

Delete selected text or characters to the left of the cursor.

Ctrl+Backspace

Delete the word to the left of the cursor, but not the space before the word.

Ctrl+K

Display the box for inserting a hyperlink.

Ctrl+V

Paste content from the Clipboard into the current location.

Ctrl+Y

Repeat the most recent action.

Ctrl+Z

Reverse the most recent action.

Insert

Switch between inserting and overwriting text.

Text formatting keyboard shortcuts

The text formatting keyboard shortcuts available in Outlook on the web and Outlook.com are the same as those available with other Microsoft products.

Here are keyboard shortcuts that can be used to perform the same action regardless of whether you're working in a message list or a reading list.

Mark the selected conversation or message as read.

Ctrl+U or U

Mark the selected conversation or message as unread.

Shift+Delete

Permanently delete the selected message or item.

Flag a message or mark a flagged message as complete.

Cancel a search.

Message list

Keyboard shortcuts often use the same key names or the same combination of keys. But how the actions that are performed can differ based on the area you are working in. The keyboard shortcuts identified next are used with a message list.

Shift+Down Arrow

Select the current and next message in the list. Use this to select multiple, contiguous messages.

Shift+Up Arrow

Select the current and previous messages in the list. Use this to select multiple, contiguous messages.

Home or Ctrl+Home

Select the first message in the folder.

Esc

Cancel a search.

Reading list

What action a keyboard shortcut performs can be unique to the area you're working in, despite featuring familiar key names and key combinations. The following gives you keyboard shortcuts used with a reading list.

Calendar keyboard shortcuts

The shortcuts identified next are available when you're working in a calendar view.

Delete the selected item.

Ctrl+Shift+2

Go to the calendar.

Shift+Right Arrow

Go to the next time period. For example, if you’re in Month view, Ctrl+Right arrow will take you to the next month.

Shift+Left Arrow

Go to the previous time period. For example, if you’re in Month view, Ctrl+Left arrow will take you to the previous month.

Shift+Alt+Y

Go to today.

Ctrl+F6

Move to a different region in the calendar.

Tab

Move to the next event or area in the current view.

Shift+Tab

Move to a previous event or area in the current view.

Enter

Open the selected item.

Shift+Alt+1

Switch to Day view.

Shift+Alt+3

Switch to full Week view.

Shift+Alt+4

Switch to Month view.

Shift+Alt+2

Switch to Work week view.

Accents and special characters

To add accents or special characters, you'll need to use the number pad on your keyboard with Num Lock turned on.

  1. Press and hold the Alt key.

  2. Type the numeric code on the number pad and release the Alt key.
