Edit page numbering, footers, and headers for Notes pages in PowerPoint

You can create and print Notes pages to accompany you when you present a PowerPoint slide show.

A printed Notes page shows a slide thumbnail on one half of the page, and speaker notes on the other half.

Add page numbers, footers, headers, or date to Notes pages

  1. On the Insert tab of the toolbar ribbon under Text, select Header & Footer.

    The Header and Footer dialog box appears.

  2. In the Header and Footer dialog box, select the Notes and Handouts tab.

  3. Select the check boxes for the items you want to include on printed Notes pages, and then type the text you want to appear at the top or bottom of each page of your notes.

    By default, Page number is turned on. Clear that check box if you don't want it to appear on printed notes pages.

    Date and time comes with formatting options for the date stamp:

    Add a date and time that is updated each time that the presentation is opened

    Select Update Automatically, and then select the date or time format that you want.

    Add a fixed date and time

    Click Fixed, and then type the date and time that you want.

    The Preview picture shows you which items are turned on. Four narrow rectangles appear in the four corners of the Preview picture. A bold rectangle indicates that the item is turned on for printed notes. In this example, the header and page number are turned on:

  4. Select Apply to All.

  5. On the View tab of the ribbon, select Notes Page to see the effect of your changes.

File names and file paths

PowerPoint doesn't support the automatic insertion of a file name or path name. Instead you follow a procedure above and type the file or path in the designated text box.

Delete header and footer information from notes

  1. Select any slide.

  2. Select Insert > Header & Footer Header & Footer button.

  3. In the Header and Footer dialog box, click the Notes and Handouts tab, clear the boxes for the options you want to remove from the header or footer.

  4. Select Apply to All.

  5. On the View tab of the ribbon, select Notes Page to see the effect of your changes.

These changes don’t affect the headers or footers on the slides themselves—just the printed Notes pages.
