If you want to prevent changes to a Visio file, you can either use document protection settings, or save the diagram in PDF or XPS format.

Use document protection settings

Shape protection requires the Developer tab to be visible. By default, this tab is hidden, so the first step is to make the Developer tab visible, if it’s not already.

Make the Developer tab visible

  1. Click the File tab.

  2. In the side bar, click Options.

  3. In the side bar, click Customize Ribbon.

  4. In the list on the right, under Customize the Ribbon, select the check box next to Developer, and then click OK.

Turn Protect Document on

  1. On the Developer tab, in the Show/Hide group, select Drawing Explorer.

  2. In the Drawing Explorer window, right-click the name of the drawing that you want to protect from changes, and then click Protect Document.

  3. Select the items that you want to prevent people from changing, and then click OK.

  4. Select the shapes on the drawing page.

  5. On the Developer tab, in the Shape Design group, click Protection.

  6. Select the check box next to From selection, and any other options you want.

To remove document protection, right-click the file name in the Drawing Explorer, and then click Protect Document. Clear the check boxes for the items you want to remove protection from, and then click OK.

Save the diagram in PDF or XPS format

  1. Click the File tab.

  2. Click Save As.

  3. Choose a location (OneDrive or computer), and then choose a folder.

  4. In the Save as type list, click PDF (*.pdf) or XPS Document (*.xps).

  5. Click Save.
