Dictate your Word document

Dictation for Office can help you create content using your voice. A microphone and an Office 365 subscription are required to use this feature. For best results, we highly recommend using a headset microphone connected to the device running Office. A reliable internet connection is also required while dictating.

To use dictate, sign in to Office 365 using Edge, Chrome, or Firefox. Turn on your microphone and make sure it works. If the microphone isn't working properly, check microphone settings (Control Panel in Windows or System Preferences on a Mac) or the manual that came with your microphone (see Microphone settings).

How to use Dictation

  1. Go to Home > Dictate, or Alt + ` (back quote) on a keyboard.

  2. If it’s your first time dictating, give the browser permission to use your microphone.

  3. A microphone icon will appear near the bottom of the app. Wait for the microphone icon to turn red and for a quick sound to let you know that dictation is listening.

  4. Start talking. As you talk, text appears on your screen.

  5. Speak clearly and conversationally. Insert punctuation by saying the name of the punctuation mark you want to add.

  6. If you make a mistake while dictating, move your cursor to the mistake and fix it with your keyboard. No need to turn off the microphone. Dictation suggestions will help make correcting mistakes easier. You can also use voice commands for simple editing.

  7. When you're finished speaking, press the microphone icon (Dictation button) in the Dictation toolbar or Alt + ` to pause Dictation. Press again to continue dictating.

  8. To quit Dictation, press Close (X) in the Dictation toolbar or press Home > Dictate again in the ribbon.

Dictate is an Office intelligent service and can sometimes mistake the word you spoke for another word. To help correct these instances, Dictation Suggestion markings will appear under words with alternate possible words available. Like a misspelled word, simply left-click or press Alt+Down on the word to see the alternate options and make a selection. If the marked word is already correct, you can select Ignore.

You can choose which language you want to speak while dictating, and whether you want punctuation to happen automatically or not. You can select the specific microphone you want to be used, if you have more than one on the device, and where the Dictation toolbar appears on the screen.

To find settings, hover over (long tap, if touch) on the microphone icon on the canvas (Dictation button) to expand the Dictation toolbar, then click on the settings button (the gear icon).  There you can:

  1. Select Spoken Language and choose a language to use.

  2. Use Audio Settings to change your microphone or speakers.

  3. Toggle ON Auto Punctuation to enable automatic punctuation marks to appear as you speak. When off, you must speak the punctuation names, like 'comma', when dictating to punctuate with your voice. You can still speak punctuation names when auto punctuation is on.

To change the position of the Dictation toolbar, from the top of the toolbar click (or touch) and drag it to the desired location on the app canvas.

By default, Dictate works with the language you have set up as your editing language in Office. Several spoken languages are supported as voice input to Dictate. The languages marked as Preview are offered in advance of full support. These generally have somewhat lower accuracy or less available punctuation or commanding terms, which will improve over time.

  2. Enable microphone permissions if asked.

  3. Once active, the soft keyboard is replaced by Dictation. Tap the microphone button to start dictating.

  4. As you talk, text is inserted into Word.

  5. Speak clearly and conversationally. Insert punctuation by saying the name of the punctuation mark you want to add. You can also add tap the punctuation bar to add common punctuation as you dictate.

  6. If you make mistakes while dictating, fix it by deleting and speaking again. Alternatively, you can switch back the keyboard to fix such errors.

  7. At any time, tap the microphone again to pause and start dictation.

  8. To switch back to the soft keyboard, tap the keyboard button.

Here are the current options in Dictate settings:

  • Change Language: See the languages Dictate currently supports and change it if desired.

  • Auto Punctuation: Allow Dictate to try to add punctuation for you. You will still be able to explicitly add punctuation by saying them aloud. This setting is turned on by default. This setting may appear to be disabled in case its not supported for the Dictation language chosen by you.

  3. Toggle ON Auto Punctuation to enable automatic punctuation marks to appear as you speak. When off, you must speak the punctuation names, like 'comma', when dictating to punctuate with your voice. You can still speak punctuation names when auto punctuation is on.

To change the position of the Dictation toolbar, from the top of the toolbar click (or touch) and drag it to the desired location on the app canvas.

By default, Dictate works with the language you have set up as your editing language in Office. Several spoken languages are supported as voice input to Dictate. The languages marked as Preview are offered in advance of full support. These generally have somewhat lower accuracy or less available punctuation or commanding terms, which will improve over time.

  • If you see a lot of incorrect words being output or missed words, try speaking more deliberately.

  • Try to avoid or eliminate background noise that may interfere with your voice.

  • Dictate depends on a cloud-based speech service, so it's important to have an internet connection that's fast and reliable.
