Use an Office 365 group to store and share files with clients, or share files for a project within your company.

  1. To create a new group, open your web browser and sign in to office.com with your work email.

  2. Choose Outlook from the app launcher The app launcher icon in Office 365.

  3. Under Groups in the list of files on the left, choose the + sign.

  4. In the Create a group pane, enter a group name, accept or change the suggested email address, add a group description, choose a privacy option (Private is recommended so that only group members or certain clients can access the group), accept or change the default language, and select the Send copies check box so that group members can receive messages.

  5. Select Create.

  6. Under Add members, type the names or email addresses of people you want to add to the group, and then choose Add.

  7. To add a logo, choose the image next to the group name at the top, choose the Edit icon below the image in the Edit group pane, browse for your image, and then choose Open and Save.

    Group members will receive a welcome email containing information about how to access and contribute to the group.

To set up a shared file location for projects or clients, use an Office 365 group. Let’s create one that we’ll use to work with one of our customers.

Sign in to Office 365 and open Mail.

Under Groups, choose the plus sign to create a new group.

Type a name for the group.

Leave the email address like it is, or change it to something shorter.

Type a description for the group.

Then, make the group Private so that only the customer and certain employees see their information.

We’ll leave the language as it is.

Then Send copies to group members so they get new group messages in their inbox. Then Create.

Add the people you want to be in the group. In this case, add the employee managing the case and add the customer using their email address.

Then Add.

To add a logo, choose the image next to the group name, then the Edit below the image.

Browse for a picture and Open.

Then Save.

Members of the group will get a welcome email like this that they can use to send messages to the group or go straight to the group files to get started.
