Use a screen reader to manage accounts in the Microsoft 365 app

This article is for people with visual or cognitive impairments who use a screen reader program such as Windows Narrator, JAWS, or NVDA with Microsoft 365 products. Use the Microsoft 365 app with VoiceOver, the built-in iOS screen reader, to sign in to the app, add new accounts, and review your account details. You'll also learn how to turn on or off the app notifications, send feedback, and sign out of the Microsoft 365 app.

Notes: 

  • New Microsoft 365 features are released gradually to Microsoft 365 subscribers, so your app might not have these features yet. To learn how you can get new features faster, join the Office Insider program.

Sign in to the Microsoft 365 app

  1. In the Microsoft 365 app, tap with four fingers near the top of the screen to move the focus to the account profile button. You hear: "Signed out, Navigation pane." Double-tap the screen. You hear: "Sign in."

  2. Double-tap the screen. You hear: "Cancel, button." The Microsoft sign-in page opens. Swipe right until you hear "Email, phone, or Skype," and then double-tap the screen.

  3. Use the on-screen keyboard to type the email address of your account. When you're done, swipe right until you hear "Return," and then double-tap the screen. The page for entering your password opens. Depending on your organization, you might need to choose among further sign-in options before you get to enter your password.

  4. Swipe right or left until you hear "Secure text field, Password," and then double-tap the screen.

  5. Use the on-screen keyboard to type your password. When you're done, tap near the bottom of the screen with four fingers, swipe left until you hear "Go," and then double-tap the screen. Depending on your organization, you might need to take extra action to sign in, for example, enter a PIN code if your organization is using multi-factor authentication.

    When the sign-in is completed, the focus moves to the Home tab and you're ready to start working on your files.

Add a new account or sign in to a different account

  1. In the Microsoft 365 app, tap with four fingers near the top of the screen to move the focus to the account profile button. You hear your username, followed by "Navigation pane." Double-tap the screen.

  2. Swipe right or left until you hear your profile info and your username, followed by "Add or switch account," and then double-tap the screen. The account info menu opens.

  3. Swipe right until you hear "Add a new account or sign in to a different account," and then double-tap the screen. You hear: "Cancel, button." The Microsoft sign-in page opens.

  4. Swipe right until you hear "Email, phone, or Skype," and then double-tap the screen.

  5. Use the on-screen keyboard to type the email address of your account. When you're done, swipe right until you hear "Return," and then double-tap the screen. The page for entering your password opens. Depending on your organization, you might need to choose among further sign-in options before you get to enter your password.

  6. Swipe right or left until you hear "Secure text field, Password," and then double-tap the screen.

  7. Use the on-screen keyboard to type your password. When you're done, tap near the bottom of the screen with four fingers, swipe left until you hear "Go," and then double-tap the screen. Depending on your organization, you might need to take extra action to sign in, for example, enter a PIN code if your organization is using multi-factor authentication.

Review your account details

  1. In the Microsoft 365 app, tap with four fingers near the top of the screen to move the focus to the account profile button. You hear your username, followed by "Navigation pane." Double-tap the screen.

  2. Swipe right or left until you hear your profile info and your username, followed by "Add or switch account," and then double-tap the screen. The account info menu opens.

  3. Swipe right until you hear "Account details," and then double-tap the screen. Swipe right until you hear "View profile," and then double-tap the screen.

  4. Swipe right to have VoiceOver read the details of your account one item at a time, such as your username and contact details.

  5. To exit the account information view, tap near the top of the screen with four fingers. You hear: "Microsoft, Back, button." Double-tap the screen.

  6. To return to the tab where you left off, tap near the top of the screen with four fingers. You hear: "Close, button." Double-tap the screen.

Manage notifications

You can choose if you want to receive push notifications sent by the Microsoft 365 app, such as notifications for product announcements or alerts when someone shares a file with you or starts editing a file you've recently modified.

  1. In the Microsoft 365 app, tap with four fingers near the top of the screen to move the focus to the account profile button. You hear your username, followed by "Navigation pane." Double-tap the screen.

  2. Swipe right until you hear "Settings," and then double-tap the screen. The Settings menu opens.

  3. Swipe right until you hear "Push notifications," and then double-tap the screen. The Push Notifications menu opens.

  4. Swipe left or right to browse the notifications settings. When you find the one you want, double-tap the screen to turn it on or off.

  5. To exit the Push Notifications menu, tap near the top of the screen with four fingers. You hear: "Settings, Back, button." Double-tap the screen.

  6. To exit the Settings menu, tap near the top of the screen with four fingers. You hear: "Close, button." Double-tap the screen.

Send feedback

  1. In the Microsoft 365 app, tap with four fingers near the top of the screen to move the focus to the account profile button. You hear your username, followed by "Navigation pane." Double-tap the screen.

  2. Swipe right until you hear "Help and feedback," and then double-tap the screen. The Help & Feedback menu opens.

  3. Swipe right until you hear "Tell us what you like" or "Tell us what can be better," depending on what kind of feedback you want to send, and then double-tap the screen.

  4. Swipe right until you hear "Feedback, Please do not include any confidential or personal information in your comment," and then double-tap the screen. Use the on-screen keyboard to type your feedback.

  5. If you want to include an email address with your feedback, swipe right until you hear "Email, text field is editing, optional," and then double-tap the screen. Use the on-screen keyboard to type your email address.

  6. To send your feedback, swipe left until you hear "Send," and then double-tap the screen. You hear: "Thank you." Swipe left until you hear "Done," and then double-tap the screen.

Sign out of the Microsoft 365 app 

  1. In the Microsoft 365 app, tap with four fingers near the top of the screen to move the focus to the account profile button. You hear your username, followed by "Navigation pane." Double-tap the screen.

  2. Swipe right or left until you hear your profile info and your username, followed by "Add or switch account," and then double-tap the screen. The account info menu opens.

  3. Swipe right until you hear "Sign out of this account," and then double-tap the screen. You hear: "Sign out alert." Swipe right until you hear "Sign out, button," and then double-tap the screen.

Review your account details

  1. In the Microsoft 365 app, swipe left until you hear "Your profile, button," and then double-tap the screen. You hear: "Me, Back, button." The profile view opens. All connected accounts are listed at the top of the profile view.

  2. Swipe right until you hear the details of the account you want to review, and then swipe right once more. You hear: "Account details, Greater than, button." Double-tap the screen. You hear: "Account info."

  3. Swipe right until you hear "View account information," followed by the username of the account, and then double-tap the screen. The page showing the account details opens.

  4. Swipe right to have TalkBack read the details of your account one item at a time, such as your username and contact details. When you're done, to exit the page, swipe down-then-left.

  5. To return to your profile view, swipe down-then-left. To exit the profile view and return to the tab where you left off, swipe down-then-left.

Manage notifications

You can choose if you want to receive push notifications sent by the Microsoft 365 app, such as notifications for product recommendations or alerts when someone mentions you or shares a file with you.

  1. In the Microsoft 365 app, swipe left until you hear "Your profile, button," and then double-tap the screen. You hear: "Me, Back, button." The profile view opens.

  2. Swipe right until you hear "Settings," and then double-tap the screen. The Settings view opens.

  3. Swipe right until you hear "Push notifications," and then double-tap the screen.

  4. Swipe right or left to browse the notifications settings. When you find the one you want, double-tap the screen to turn it on or off.

  5. When you're done, to exit the notification settings, swipe down-then-left. The focus returns to the Settings view.

  6. To exit the Settings view, swipe down-then-left. The focus moves to the profile view. To exit the profile view and return to the tab where you left off, swipe down-then-left.

Send feedback

  1. In the Microsoft 365 app, swipe left until you hear "Your profile, button," and then double-tap the screen. You hear: "Me, Back, button." The profile view opens.

  2. Swipe right until you hear "Send feedback," and then double-tap the screen.

  3. Swipe right until you hear "I like something" or "I don't like something," depending on what kind of feedback you want to send, and then double-tap the screen.

  4. Swipe right until you hear "What did you like" or "How can we improve," depending on what you chose in step 3.

  5. Use the on-screen keyboard to type your feedback. When you're done, swipe down-then-left to close the on-screen keyboard.

  6. Swipe right until you hear "Submit," and then double-tap the screen. Your feedback is sent, and the focus returns to the profile view.

  7. To exit the profile view and return to the tab where you left off, swipe down-then-left.

Sign out of the Microsoft 365 app 

  1. In the Microsoft 365 app, swipe left until you hear "Your profile, button," and then double-tap the screen. You hear: "Me, Back, button." The profile view opens.

  2. Swipe right until you hear the profile info and username of the account you want to sign out of, and then double-tap the screen. You hear: "Account info."

  3. Swipe right until you hear "Sign out," and then double-tap the screen. You hear "Sign out," followed by the details of what happens when you sign out. Swipe right until you hear "Sign out, button," and then double-tap the screen.
