Add a header or footer to handouts or notes

Add a header or footer to handouts or notes

In PowerPoint, handouts and notes have footers and headers. Slides only have footers.

Select a heading below to open it and see detailed instructions.

You add headers to your presentation by using Handout Master view.

  1. On the toolbar ribbon, select the View tab and then Handout Master.

  2. On the ribbon, in the Placeholders group, clear the checkbox of any item that you don't want to display:

Handout Master options on the toolbar
Options for placeholders in the Master view for Handout pages

Page Number and Date are turned on by default, so you must clear those checkbox items if you don't want them to appear on printed handouts.

  3. On the Insert tab, select Header & Footer.

  4. In the Header and Footer dialog box, switch to the Notes and Handouts tab.

  5. On the Notes and Handouts tab, select Header or Footer, or both, and then type the text you want to appear at the top or bottom of each page of your handouts.

  7. Select the Handout Master tab on the ribbon, and then select Close Master View.

  1. On the Insert tab of the toolbar ribbon, select Header & Footer.

The Header and Footer dialog box appears.

  2. In the Header and Footer dialog box, select the Notes and Handouts tab.

  3. Select the check boxes for the items you want to include on printed Notes pages, and then type the text you want to appear at the top or bottom of each page of your notes.

By default, Page number is turned on. Clear that check box if you don't want it to appear on printed notes pages. Date and time comes with formatting options for the date stamp.

The Preview picture shows you which items are turned on. Four narrow rectangles appear in the four corners of the Preview picture. A bold rectangle indicates that the item is turned on for printed notes. In this example, the header and page number are turned on:

The Preview picture shows you which items will appear on the printed Notes pages.

  4. Select Apply to All.

To add slide numbers, page numbers, or the date and time to your slides, use Insert > Header & Footer. See Add slide numbers, page numbers, or the date and time or Show footer information on your slides.
