Outlook 2016 for Mac is continually evolving to include new features and other improvements that help you get things done more efficiently. Read on to learn more about what's new.
Add visual impact
Insert and edit Scalable Vector Graphics (SVGs) in your documents, workbooks, presentations, and emails to add visual interest and retain a high image quality.
A more actionable calendar
Click an event in your calendar, and a card pops up to show you all the meeting details. You can decline a previously accepted meeting, see acceptance status, review time and location, and more. Expand the card to see all the details.
Easier scanning of search results
Search for a word or name and Outlook will highlight your search term in the item list or Preview pane.
Schedule meetings across time zones
Need to meet with someone in another time zone? No problem. Outlook helps you make the time conversion so everyone shows up at the right time. Just click the Time Zone button when scheduling a meeting or event, and choose the time zones for the meeting start and end.
Change the font size of your folder list, message list, and reading pane
Text too small? Change it by going to Outlook > Preferences > Fonts, and moving the slider left or right.
Enrolled in the Insider Slow level? Keep reading to see what's new in Version 16.13.18050501.
Swipe right or swipe left? You Decide!
Set the swipe left and swipe right gestures to the actions you use most. Choose from Delete, Archive, Mark as Read, Flag, or None.
Support for Google Calendar and Contacts*
Manage your Google Calendar and Contacts without leaving Outlook.
What week is it?
You asked for it! Display week numbers in Month View and in the Mini-calendar.
If you're scheduling a meeting with someone in another part of the world, adding another time zone to your calendar can be a big help. The second time zone sits next to your time zone on your calendar so you can see exactly what time it is here and there. Turn it on from Outlook > Preferences > Calendar > Show second time zone in Day and Week view.
To add a table to your email message, select Message > Table. Specify the number of rows and columns, and you're good to go.
Select any event on your calendar to see all the important details. Join the meeting, check the location, edit your RSVP, and more.
Use the format painter to quickly copy the format (font style, font size, color, and so on) from one item to another. Format painter works with your email messages, calendar events, and tasks.
There's a new folder in town. The Favorites folder now sits at the top of your folder list in the sidebar and holds shortcuts to all the folders you use most often.
Send Later is a new feature that enables you to schedule the date and time when an email should be sent. The message is saved in the drafts folder until the date and time you specify.
Make sure your important email messages are delivered to and read by your recipients. Just tag your message with a read and/or delivery receipt and you'll be notified as soon as the message is delivered to your recipient and again when it's read.
Collaborate easily with those you work with most often. Office 365 Groups have been available in Outlook for Windows and Outlook on the web for some time, and now they've come to Mac, too! View your top 10 groups, and read and respond to group emails without ever leaving Outlook.
Office Add-ins are programs that help you get things done right from your inbox. Examples include Bing Maps, Starbucks for Outlook, Zomato Restaurant Finder, and more. With add-ins, you enable them once and they're available to all your Outlook clients.
Translator for Outlook is a free add-in that enables you to translate email message text on the fly. It's great for anyone who works in a second language every day and wants to read messages in their native language. Examples include international teams and companies, exchange students, pen pals, and language learners.
The add-in works across all Outlook clients: Outlook 2016, Outlook 2016 for Mac, Outlook on the web, Outlook.com, and the Outlook mobile app. You install it once from the Office Store and it's available automatically wherever you use Outlook.
When you type the @ symbol followed by a person's name in the body of the email message or meeting invite, not only will their name be highlighted in the message details, but Outlook will automatically add them to the To line of the email or meeting invite.
If you want to see only those email messages where you were @mentioned, you can use the Filter Email > Mentioned button to do so.
It's now easier than ever to keep track of scheduled package deliveries and travel reservations. When a package tracking email or travel itinerary is sent to your inbox, Outlook 2016 for Mac recognizes it, scans it, and summarizes it on a convenient card that puts all the important details, such as flight or tracking numbers, front and center.
Outlook also adds these events to your calendar and sends you reminders—for airline reservations, you'll get the reminder plus a check-in link 24 hours before your flight—so you don't have to worry about missing anything.
When you insert a picture into an email message you can now rotate and resize it, or add effects like shadow, glow, and outline. Picture editing tools are also available so you can crop, adjust brightness, contrast, and saturation, and make other adjustments.
Just double-click your image to bring up the Format Picture controls.
Picture formatting is just the beginning. You now have access to a richer set of fonts, font colors, and bulleted and numbered lists, plus enhanced font editing and hyperlink dialogs. These are available in the ribbon by using the familiar controls.
Use one-click archive to safely store emails that you need to keep but don't want cluttering up your inbox. Clicking the Archive button on the ribbon moves your messages to the Archive folder (default) or to any folder you specify.
Modern authentication enables additional layers of security, such as multi-factor authentication. If you've connected your Office 365 account to Outlook 2016 for Mac, you'll be asked to sign in to your account via your organization’s sign-in page even if you've already sign in to your Mac.
Will it be sunny or rainy? You don’t have to find your local weather forecast because Outlook shows the weather data provided by MSN Weather right in the Calendar view.
Outlook makes it simple to customize and change email signatures, so you can use different signatures for new messages and responses. You can also set different default signatures for each of your email accounts.
When you manage other people's calendars or have to coordinate events with other people, you can use side-by-side calendars to see others' calendars in one view. You can view up to 3 calendars at a time!
Categories including name and colors are no longer locked in your computer. The categories sync with the Exchange or Office 365 subscription accounts and your categorized items show the same in Outlook for Mac, Outlook for Windows, and Outlook on the web.
