What are the toolbar commands in PerformancePoint Dashboard Designer?

You use PerformancePoint Dashboard Designer to create, edit, and deploy dashboards and scorecards to internal sites. The following sections summarize the various commands in the Microsoft Office Fluent Ribbon that you can use as you work in Dashboard Designer.

Note: Some toolbar commands do not apply to certain elements. For example, the Validate Data command only applies to scorecards and key performance indicators (KPIs). When a toolbar command does not apply to a particular element, it is inactive in the Ribbon.

The Quick Access toolbar is located in the upper left corner in Dashboard Designer.

The following table describes each toolbar command and how you use it.

Use the Save command to save dashboard elements, such as data sources, indicators, key performance indicators (KPIs), scorecards, reports, and dashboards, to a location that you specify. (This does not publish elements to Monitoring Server.)

Use the Undo command to undo the last change that you made to an element.

Use the Redo command to redo the last change that you undid to an element.

Refresh

Use the Refresh command to update the list of elements that you or other dashboard authors created and saved. We recommend that you do this as soon as you open Dashboard Designer so that you can reuse existing elements and save time.

Publish All

Use the Publish All command to save multiple elements to Monitoring Server.

Important: Use this command with caution. If other dashboard authors are working in Dashboard Designer and you click Publish All, their elements may be published before they are ready. Depending on your organization, you may want to use the Publish Item command instead.

The Home tab toolbar commands

The Home tab has a variety of toolbar commands that you can use for most dashboard elements. When a toolbar command does not apply to a particular element, it is inactive in the Ribbon. The toolbar commands that are available on the Home tab are organized into four main groups:

  • Clipboard

  • Actions

  • Changes

  • View

Clipboard

The Clipboard group includes the Paste, Cut, and Copy toolbar commands.

Paste

Use the Paste command to insert text or a dashboard element that you cut or copied to your clipboard.

Cut

Use the Cut command to delete individual key performance indicators (KPIs) that are in a scorecard, or to remove an Actual or Target value in a KPI.

Copy

Use the Copy command to copy text or a dashboard element to your clipboard so that you can use the Paste command.

Actions

The Actions group includes the Refresh, Publish All, Mark Differences, Publish Item, Open Items, and Delete toolbar commands.

Refresh

Use the Refresh command to update the list of elements that you or other dashboard authors created and saved. We recommend that you click Refresh as soon as you open Dashboard Designer so that you can reuse existing elements and save time.

Publish All

Use the Publish All command to save multiple elements to Monitoring Server so that you and other dashboard authors can edit and deploy those elements.

Important: Use the Publish All command with caution. If you and other dashboard authors are using Dashboard Designer at the same time and you click Publish All, you could publish other users' dashboard elements to Monitoring Server before those dashboard authors are ready. We recommend that you consider using Publish Item instead.

Mark Differences

Use the Mark Differences command to compare elements that are in your workspace to the versions that are published to Monitoring Server and indicate which elements are different.

Publish Item

Use the Publish Item command to save an element to Monitoring Server.

Open Items

Use the Open Items command to open one or more dashboard elements in your workspace.

Delete

Use the Delete command to remove an element from your workspace or from the server. After you delete an element from your workspace, we recommend that you click Refresh to confirm that those elements have been deleted from Monitoring Server.

Changes

The Changes group includes the Compare Data, View History, Revert Changes, and Validate Data toolbar commands.

Compare Data

Use the Compare Data command to compare an element that is in your workspace to the version that is published to Monitoring Server.

View History

Use the View History command to view a list of the different versions of a dashboard element, along with details about that element, such as when it was modified and by whom.

Revert Changes

Use the Revert Changes command to restore an element to a previous version.

Validate Data

Use the Validate Data command to verify that data-source connections for a scorecard or its KPIs are working correctly.

View

The View group includes the Toggle, Expand All, and Collapse All toolbar commands. These toolbar commands are available only when you select a category of elements in the Workspace Browser.

Use the Toggle command to show or hide folders and their contents in the center pane of the workspace.

Expand All

Use the Expand All command to display all the folders and their contents.

Collapse All

Use the Collapse All command to display only the top-level folders and hide all folder contents.

The Edit tab toolbar commands

In Dashboard Designer, the Edit tab varies according to the type of dashboard element that you select. For example, the toolbar commands that are specific to scorecards are different from the toolbar commands that are available for reports. In addition, some toolbar commands are available only when you select a category of dashboard elements, and other toolbar commands are available when you open an individual dashboard element in the workspace. When a toolbar command does not apply to a particular element, it is inactive in the Ribbon.

Dashboards

Toolbar commands that apply to dashboards in general

When Dashboards is selected in the Workspace Browser and no individual dashboard is open in the center pane of the workspace, the following toolbar commands are displayed in the Edit tab:

  • Bulk Edit

  • Preview

  • SharePoint Site

Bulk Edit

Use the Bulk Edit command to change the properties of multiple dashboard elements that share a common category. For example, you might update several different reports at the same time, or reformat multiple KPIs.

Preview

Use the Preview command to preview a dashboard to see what all the elements look like together before you deploy it to Windows SharePoint Services.

SharePoint Site

Use the SharePoint Site command to deploy a dashboard to an internal or external site that uses Windows SharePoint Services technology.

Toolbar commands that apply to a dashboard that is open in the workspace

When an individual dashboard is open in the center pane of the workspace, the following toolbar commands are displayed in the Edit tab:

  • Zone

  • Zone Settings

  • Edit Item

  • Create Link

  • Preview

  • SharePoint Site

Zone

Use the Zone command to add or remove a zone in the dashboard page.

Zone Settings

Use the Zone Settings command to change the name, size, and orientation of a dashboard zone in a new dashboard page that has not yet been published to Monitoring Server . When you change the orientation of a zone, you must specify whether to arrange multiple elements in the zone horizontally, vertically, or stacked.

Important: You cannot change the size of a dashboard zone after the dashboard has been published. Be sure to adjust the zone settings before you publish the dashboard.

Edit Item

Use the Edit Item command to change the display position or the size of a dashboard element in a zone.

Important: The Edit Item command does not change the size of the dashboard zone, but it does affect how much of the zone an element consumes.

Create Link

Use the Create Link command to link a filter to a report or a scorecard.

Preview

Use the Preview command to preview a dashboard to see what all the elements look like together before you deploy it to Windows SharePoint Services.

SharePoint Site

Use the SharePoint Site command to deploy a dashboard to an internal or external site that uses Windows SharePoint Services technology.

KPIs

Make changes to the rows and columns in a scorecard. For example, you can pivot rows and columns, or remove rows or columns.

Update

Preview your scorecard after you make changes to its KPIs, rows, or columns. Note that Update is not the same as Refresh. The Refresh command refreshes the list of elements that are published to Monitoring Server; the Update command refreshes the appearance of your scorecard in your workspace.

Properties

Adjust KPI settings, such as the score rollup weight and the name of the individual KPI.

SQL Server Reporting Services

an individual scorecard that is open in your workspace

Deploy a scorecard to an existing SQL Server 2005 Reporting Services report.

View Options

Open the View Options dialog box to adjust how you want the scorecard to appear in a dashboard. Note that you must click a cell in the scorecard to use the View Options command.

Toolbar Options

an individual scorecard that is open in your workspace

Open the Scorecard Toolbar Options dialog box and specify which toolbar options to make available to dashboard users. Note that you must click a cell in the scorecard to use the Toolbar Options command.

New Comment, Edit Comment, or Delete Comment

an individual scorecard that is open in your workspace

Add, edit, or delete a comment that is in a particular cell in a scorecard. Note that you must click a cell in the scorecard to use one of these commands.

Reports

The following table describes how each toolbar command is used in Dashboard Designer.

The Create tab toolbar commands

The Create tab includes a variety of toolbar commands that open wizards that you can use to create a particular element. The toolbar commands that are available on the Create tab are organized into two groups:

  • Objects

  • Reports

Objects

The Objects group includes the Dashboard, Scorecard, KPI, Indicator, and Data Source toolbar commands.

Command

Description

Dashboard

Use the Dashboard command to create a dashboard that contains one page. You can add more pages to your dashboard in the workspace.

Scorecard

Use the Scorecard command to create a scorecard that contains one or more KPIs. The KPIs must already be created and published to Monitoring Server.

KPI

Use the KPI command to create a blank KPI or an Objective KPI. When you select Blank KPI, you create a single KPI that you set up in the workspace. When you select Objective, you create a KPI that rolls up scores from its children KPIs.

Indicator

Use the Indicator command to create an indicator that you can use when you create KPIs. Indicators must already be created and published to Monitoring Server before you can use them in KPIs.

Data Source

Use the Data Source command to create a data source connection for a PerformancePoint report. Note that in most cases, you do not create a database in Dashboard Designer; you create a connection to an existing data source.

Reports

The Reports group includes the Analytic Chart, Analytic Grid, PivotChart, Strategy Map, Web Page, and Other Reports toolbar commands.

Analytic Chart

Use the Analytic Chart command to create an analytic chart report that uses SQL Server 2005 Analysis Services data.

Analytic Grid

Use the Analytic Grid command to create an analytic grid report that uses SQL Server 2005 Analysis Services data.

PivotChart

Use the PivotChart command to create a PerformancePoint Web Part to display a bar chart, line chart, pie chart, smoothline, scatter plot, bubble chart, area chart, or radar chart that uses data in Office Excel 2007.

Strategy Map

Use the Strategy Map command to create an organizational chart or workflow that shows performance for individual components using KPIs in a scorecard.

Web Page

Use the Web Page command to create a PerformancePoint Web Part that displays an internal or external Web site in a dashboard.

Other Reports

Use the Other Reports command to open the Select a Report template dialog box where you can select one of eleven different report templates, including analytic charts and grids, Excel Services reports, ProClarity Analytics Server Page reports, Reporting Services reports, strategy maps, trend analysis charts, and Web page reports.

Note: Dashboard authors define Editor and Reader permissions for each element in Dashboard Designer. Users who have Editor permissions can view, modify, or delete elements. Users who have Reader permissions can only view elements. If you do not have Editor permissions for an element that you want to modify or use, you can open the element in your workspace, save it to a different location, and then republish it to Monitoring Server. By default, you have Editor permissions for any element that you create or publish.
