Visio 2016 Quick Start

Visio helps you visually communicate complex information from multiple data sources:

  • Quickly create professional flow charts, timelines, process maps, organizational charts, IT architecture diagrams, floor plans, and more.

  • Keep diagram data points current by connecting diagram elements directly to data sources.

  • Use data graphics to simplify and enhance the visualization of complex information.

  • View and share the most up-to-date Visio diagrams from nearly anywhere with Visio Online.

  • View and interact with diagrams on the go with Visio Viewer for iOS.

Select a template

Visio offers more than 75 types of templates.

  1. Open Visio.

    If you're already in Visio, select File > New.

  2. Select or search for a template:

    • Select a FEATURED template, or a template from one of the other categories.

    • Search for online templates Start Searching button or select one of the Suggested searches.

      Note: The Software, Engineering and Database categories are only available in Visio 2016 Professional and Visio Pro for Office 365.

  3. Select the units of measurement, if prompted.

  4. Select Create.

Add a shape

  1. Select a category in the Shapes pane:

    More Shapes, Quick Shapes, ...

  2. Select a shape and drag it to the drawing page.

Add and automatically connect shapes

  1. Point to a shape until the AutoConnect arrows appear around the shape.

    If you don't see the AutoConnect arrows, select View > AutoConnect.

  2. Point to the arrow that points the direction you want to add a shape, and select a shape from the mini toolbar.

    If you want a shape that isn't on the mini toolbar, drag a shape from the Shapes pane to an AutoConnect arrow.

Connect shapes

  1. Select Home > Connector.

  2. Drag a connector from one shape to another.

  3. When you're done, select the Pointer Tool.

The Connector tool connects to shapes with a point connection on each end.

Add text to a shape

  1. Select the shape.

  2. Type the text.

  3. When you're done, click outside the shape or press Esc.

Format a shape

  1. Select the shape you want to format.

  2. On the Home tab, select an option:

    • Shape Styles - Select a style.

    • Fill - Select a color, No Fill, or More Colors. Select Fill Options to see all options.

    • Line - Select the color, weight, or type of line. Select Line Options to see all options.

    • Effects - Select an effect: Shadow, Reflection, Glow, Soft Edges, Bevel, 3-D Rotation.

Add text to the drawing page

  1. Select Home > Text tool button Text or press Ctrl+2.

  2. Drag to draw a text box.

  3. Type the text.

  4. Click outside the text box or press Esc.

  5. Select Home > Pointer button Pointer Tool or press Ctrl+1 when you're done adding text.

Apply Themes and Variants

Give your Visio drawing a professional look.

  1. On the Design tab, select one of the Themes.

    Hover over each theme to preview it.

  2. Select one of the Variants.

Select a background

  1. Select Design > Backgrounds.

  2. Select a background:

    • Solid

    • Vertical, Horizontal, Corner, and Center Gradients

    • World

    • Verve

    • Flow

    • Technic

    • Currency

The background color changes with the Themes and Variants.

Get help with Visio

  1. Select Tell me what you want to do.

  2. Type what you want help with.

  3. Select one of the search results, or select Get Help on and then a help topic.
