Set up email on an Android phone or tablet

Important   For the best mobile email experience, we recommend that you install the latest Microsoft app for your device: Outlook for iOS or Outlook for Android.

You can connect to your Office 365 or other Microsoft Exchange-based email on an Android phone or tablet. When you set up an Exchange account on your Android, you’ll be able to access and synchronize your email, calendar, and contacts. If you only want to use email, you can set up Post Office Protocol (POP) or Internet Message Access Protocol (IMAP) email on an Android. Set up Microsoft Exchange email on an Android

  1. From the Applications menu, select Email. This application may be named Mail on some versions of Android.

  2. Type your full email address, for example, tony@contoso.com, and your password, and then select Next.

  3. Select Exchange account. This option may be named Exchange ActiveSync on some versions of Android.

  4. Enter the following account information, and then select Next.

    • Domain\Username     Type your full email address in this box. If Domain and Username are separate boxes in your version of Android, leave the Domain box empty, and type your full email address in the Username box.

      Note    On some versions of Android, you must use the domain\username format. For example, if your email address is tony@contoso.com, type contoso.com\tony@contoso.com. Your user name is your full email address.

    • Password     Type the password that you use to access your account.

    • Exchange Server    Type the address of your Exchange server. If you’re connecting to your Office 365 email, use outlook.office365.com for your server name. If you're not using Office 365, see Find your ActiveSync server name in this article.

  5. As soon as your phone verifies the server settings, the Account Options screen opens. The options available depend on your version of Android and may include the following:

    Email checking frequency     The default setting is Automatic (push). When you select this option, email messages are sent to your phone as they arrive. We recommend selecting this option only if you have an unlimited data plan.

    Amount to synchronize     This is the amount of mail you want to keep on your mobile phone. You can choose from several retention options, including One day, Three days, and One week.

    Notify me when email arrives     If you select this option, your mobile phone notifies you when you receive a new email message.

    Sync contacts from this account     If you select this option, your contacts are synchronized between your phone and your account.

  6. Select Next, and then type a name for this account and the name you want displayed when you send email. Select Done to complete the email setup and start using your account.

    Note    You may need to wait 10-to-15 minutes after you set up your account before you can send or receive email.

Find your Exchange Server name

If your email program is on a server running Exchange ActiveSync and isn't able to automatically find your server name, you may need to look it up.

I'm connecting to Office 365.

Use outlook.office365.com as your server name.

I'm connecting to an Exchange mailbox, but I'm not using Office 365 email.

or

I'm connecting to an Exchange mailbox, but I don't know if I'm using Office 365.

  1. Sign in to your account by using Outlook Web App. For help signing in, see Sign in to Outlook Web App.

  2. The name of the server running Exchange ActiveSync is shown in the address bar of your browser when you're signed in to Outlook Web App, but without the leading https:// and the trailing /owa. For example, if the address you use to access Outlook Web App is https://mail.contoso.com/owa, your server name is mail.contoso.com

I still can't connect to my mailbox.

  1. On the Outlook Web App nav bar, click Settings Settings icon > Options > Account > My account > Settings for POP and IMAP access.

    Note    Although you’re not setting up a POP3 account, you'll use the value given for the setting to determine the name of the server running Exchange ActiveSync.

  2. Under POP setting, look at the entry for Server name.

    • If the Server name is outlook.office365.com, your account is an Office 365 work or school account, and you can use outlook.office365.com as your server name.

    • If the Server name isn't outlook.office365.com, try using the server name listed on your options page. For example, if the server name is mail.contoso.com, try using it as your server name.

Set up POP or IMAP email on an Android

  1. From the Home screen, tap Applications > Settings > Accounts & sync > Add account > Manual setup.

  2. On the Incoming settings screen, in the Protocol list, click IMAP or POP3. We suggest you select IMAP because it supports more features.

  3. In the Email address and Username boxes, type your full email address (for example, tony@contoso.com), and your password, and then select Next. Your user name is the same as your email address.

  4. In the Password box, type your password.

  5. In the IMAP server or POP3 server box, type your IMAP or POP server name. If you’re connecting to your Office 365 email, the IMAP or POP server name is outlook.office365.com. If you’re not using Office 365, see Find your POP or IMAP server settings in this article.

  6. In the Security type list and in the Server port box, use the POP or IMAP settings that you looked up in step 5. Then tap Next. Your email application checks your IMAP or POP settings.

  7. On the Outgoing server settings screen, the Login required option should be selected for you, and the Username and Password boxes should be filled in.

  8. In the SMTP server box, type the SMTP server name. If you’re connecting to your Office 365 email, the Simple Mail Transfer Protocol (SMTP) server name is smtp.office365.com. If you’re not using Office 365, see Find your POP and IMAP server settings in this article.

  9. In the Security type list and in the Server port box, use the SMTP settings that you used in step 5, and then click Next.

  10. In the Account name box, type a name for your account (for example, “Office 365 email” or “Work email"). In the Your name box, type the name you want displayed when you send email (for example “Tony Smith”), and then select Finish Setup.

Note    You may need to wait 10-to-15 minutes after you set up your account before you can send or receive email.

Find your POP and IMAP server settings

If you’re connecting to your Office 365 email, the server name for IMAP and POP is outlook.office365.com. The server name for SMTP is smtp.office365.com.

If you’re connecting to an Exchange mailbox and not using Office 365 email, or if you aren’t sure if you're using Office 365, do the following to look up your settings.

  1. Sign in to your account by using Outlook Web App. For help, see Sign in to Outlook Web App.

  2. On the Outlook Web App nav bar, click Settings Settings icon > Options > Account > My account > Settings for POP and IMAP access.

  3. The POP3, IMAP4, and SMTP server name as well as other settings you may need to enter are listed on the Settings for POP and IMAP Access page under POP setting, IMAP setting, or SMTP setting.

What else do I need to know?

  • If you see Not available under POP setting, IMAP setting, and SMTP setting, you may need to contact the person that manages you email account to determine the name of the server running Exchange ActiveSync

  • If your email account is the type that requires registration, you must register it the first time you sign in to Outlook Web App. Connecting to your email account through a mobile phone fails if you haven't registered your account through Outlook Web App. After you sign in to your account, sign out.
