Set up email on an Android phone or tablet

You can set up an email account using the Outlook for Android app or the built-in Android mail app to access your email, calendar, and contacts. For a list of other Office apps, or if you want to set up a different mobile device, see Office apps for mobile devices.

Select the type of account you want to set up on your Android phone or tablet

If you're not sure what type of account you have, see the Additional information section below.

Set up Outlook.com, Gmail, Yahoo! Mail, or iCloud accounts

To create an Outlook.com account, or to verify you already have an Outlook.com account, see the Outlook.com page, and select Sign in or Try Outlook.com.

The user interface (UI) of Androids can vary by model so use these steps as a guide, or consult the manufacturer's help for your particular device.

Outlook for Android requires a device running Android 4.0 or later. App availability varies so find out what's available in your country.

By using the Outlook for Android you can access your email, calendar, contacts, and OneDrive files from within the app rather than having to check separate apps.

You can't access tasks from the Outlook for Android app.

  1. Download the Outlook for Android app from the Google Play store if you haven't installed it yet.

    If you already have it installed, open it and then depending on your device, tap the navigation control at the bottom of your Android, or tap More > Settings > Add Account.

  2. On Choose account type, select Outlook if you have an Outlook email account ending with @outlook.com, @hotmail.com, @msn.com, or @live.com. This includes international domains, such as @outlook.co.uk, or any custom domains hosted on Outlook.com.

    If you have a different mail account, tap one of the other options. For example, tap Gmail, Yahoo! Mail, or iCloud if you want to add those accounts.

  3. On Connect Outlook, type your full email address, for example <someone>@outlook.com, type your password, and then tap Sign in.

  4. If prompted, select Yes or Accept to let the app access your info. Outlook for Android then starts syncing the account.

  5. To view your calendar, files, or contacts from the app, tap one of the icons at the bottom of the screen.

  6. To learn more about using Outlook for Android, tap the navigation control at the bottom of your device, or tap Settings > Help & Feedback. Or, see Frequently asked questions about Outlook for iOS and Android.

You can also use the browser on your device to check your email account. For example, if you have an account ending with @outlook.com, @hotmail,com, @msn.com, or @live.com email, go to http://m.mail.live.com, and sign in to your email account.

You can have more than one account in Outlook for Android. To add another account, select the type of account you want to add and follow those steps.

Delete an account
  1. Depending on your device, tap Settings and then tap the account you want to delete.

  2. Select Delete Account.

  1. Tap Settings > Accounts > Add account > Exchange.

  2. Type your full email address, for example <someone>@outlook.com. (This can be an email account ending with @outlook.com, @hotmail.com, @msn.com, or @live.com, and includes international domains, such as @outlook.co.uk, or any custom domains hosted on Outlook.com.)

    If you only want your email account to sync to your phone, tap Next and follow the rest of the prompts.

    However, if you want other sync options, such as syncing your calendar and contacts as well, select Manual setup and follow the steps below.

    Note: The manual steps below are for Outlook.com accounts only. If you're trying to set up a Yahoo, Gmail, or iCloud account, check those providers for information.

  3. On the type of account page, select Exchange > Next.

  4. Type your password and select Next.

  5. On the Incoming server settings page set the following:

    Domain\Username
    Make sure your full email address appears. For example, <someone>@outlook.com. If Domain and Username are separate text boxes on your device, leave the Domain box empty, and type your full email address in the Username box.

    Password
    Use the password that you use to access your account.

    Server name
    You might need to replace what's there with s.outlook.com for any email account ending with @outlook.com, @hotmail.com, @msn.com, or @live.com, including international domains, such as @outlook.co.uk, or any custom domains hosted on Outlook.com.

    Port
    Use 443 or 993.

    Security type
    Select SSL/TLS or make sure the Use secure connection (SSL) checkbox is checked, then tap Next.

  6. On Account options, change or accept the default sync settings, and then select Next.

  7. Name your account if you want and then select Next.

Not working? Make sure you entered your email and password correctly and try again because even one small typo will result in an error.

If you synced your calendar and contacts, go to those built-in apps on your device to view any items that might be there. If you synced tasks as well, you should see them in the calendar app on your device. It might take a few minutes for everything to sync.

You can also use the browser on your device to check your email account ending with @outlook.com, @hotmail,com, @msn.com, or @live.com email. Go to http://m.mail.live.com, and sign in to your email account.

  1. Download the Outlook for Android app from the Google Play store if you haven't installed it yet.

  2. Tap Office 365 if you have a work or school account in Office 365 for business.

    If you previously selected Exchange to set up your account you may receive a message about security upgrades and you need to re-sign in. Follow the prompts and sign in with your full email address and password.

    Outlook for Android then starts syncing the account.

  4. To view your calendar, files, or contacts from the app, tap More Menu.

  1. Depending on your device, tap the navigation control at the bottom of your device, or tap More > Settings.

  2. Tap the account you want to delete.

If your device can't connect make sure you typed your email address and password correctly and try again. If you still can't connect try setting it up manually following the steps below.

  4. Review the settings on the Exchange server settings page and update if necessary.

    • Email    Make sure your full email address is in this box, for example, tony@contoso.com.

    • Domain\Username    Type your full email address in this box, for example, tony@contoso.com. If Domain and Username are separate text boxes in your version of Android, leave the Domain box empty, and type your full email address in the Username box.

    • Password    Use the password that you use to access your account.

    • Exchange Server    The server name for Office 365 for business is outlook.office365.com.

    • Make sure the Use secure connections (SSL)    box is checked.

  5. Tap Done.

  6. Depending how the Office 365 administrator in your organization set up your account, you might receive a message about additional security features. Select OK or Activate to continue.

    • Password   
      Use the password that you use to access your account.

    • Exchange Server   
      If you don't know the name of your Exchange Server, contact your administrator. If your organization uses Outlook Web App or Outlook on the web you can try checking your server settings following the steps in POP or IMAP settings for Exchange-based email.

    • Make sure the Use secure connections (SSL)    box is checked.

  5. Tap Done.

  6. Depending how the Exchange administrator in your organization set up your account, you might receive a message about additional security features. Select OK to continue.

  7. Accept the defaults or make changes for how you want your account to sync on your device. When you're finished, swipe to the bottom and tap Next.

If you're setting up an IMAP account you can use Outlook for Android. If you want to set up a POP account, use the Android mail app that comes with your device.

Note: You cannot access tasks from the Outlook for Android app.

If you're setting up an IMAP or POP account, only your email will sync to your device. Any calendar and contacts associated with that account remains stored on your local computer.

  1. From the Applications menu, select Email. This application may be named Mail on some versions of Android.

  3. Depending on the type of account you're setting up, select IMAP or POP.

  4. On the Incoming server settings page, check that your email address is correct and add the following:

    If you're not using Office 365 for business for email and you don't know the necessary server and port settings to complete these steps, contact your email provider. If you're setting up a Gmail, Yahoo! Mail, or iCloud account, see the table below for links to where to find those server settings.

    • Domain\Username Type your full email address in this box, for example, tony@contoso.com. If Domain and Username are separate text boxes in your version of Android, leave the Domain box empty, and type your full email address in the Username box.

    • Password Use the password that you use to access your account.

    • IMAP Server or POP3 Server Use the address of your server. For example, the server name for Office 365 for business is outlook.office365.com.

    • Security type Select your security type. For example, the incoming security type for Office 365 for business is SSL.

    • Port number Add the port number. For example, the port number for Office 365 for business is 993. Tap Next.

    • If you receive a message about additional security features, select OK to continue.

    On the Outgoing server settings page, add the following:

    • SMTP server Type your SMTP server name. For example, the outgoing server for Office 365 for business is smtp.office365.com.

    • Security type Select your security type. For example, the outgoing security type for Office 365 for business is TLS.

    • Port number Add your port number. For example, the outgoing port number for Office 365 for business is 587. Tap Next.

  5. In Account name type a name for this account and the name you want displayed when you send e-mail to others.

  6. Tap Done.

    Tip:  You may need to wait ten-to-fifteen minutes after you set up your account before you can send or receive email.

Type of account

Description

Outlook.com

These are email accounts ending with @outlook.com, @hotmail.com, @msn.com, or @live.com.

These include international domains, such as @outlook.co.uk, or any custom domains hosted on Outlook.com.

Gmail

Gmail is an email service provided by Google.

  • For Gmail server settings, see Get started with IMAP and POP3. You can also use the Gmail mail app that comes with your device to set up your account.

Yahoo! Mail

Yahoo! Mail is an email service provided by Yahoo!

iCloud

iCloud is an email service provided by Apple. iCloud does not support POP.

Office 365 account

This is a work or school email account hosted by Office 365 for business. This account can be a custom domain in Office 365 and can have many endings such as @<YOUR DOMAIN.onmicrosoft.com, @<YOUR DOMAIN>.com, @<SCHOOL NAME>.edu. If you're not sure, check with the administrator for your email account.

Tip: Not sure what a domain is? In this example email address, tony@contoso.com, "contoso.com" is the domain.

Exchange-based account

This is a work or school email account hosted by Exchange. This account can be a custom domain in Exchange and can have many endings such as @<YOUR DOMAIN>.com, @<SCHOOL NAME>.edu. If you're not sure, check with the administrator of your email account

Tip: Not sure what a domain is? In this example email address, tony@contoso.com, "contoso.com" is the domain.

IMAP or POP

IMAP or POP is an email protocol used to download email to your device.

  • IMAP stores email on remote email servers until you delete it.

  • POP downloads email for offline reading, and may remove it from the remote server. If you select POP, only your email syncs to your mobile device.

Check with your email provider if you're not sure if you should use IMAP or POP. If you don't know the server settings, check the website of your email provider (also called your Internet Service Provider (ISP).

Here's a tip to check what type of email account you have

Not sure what type of account you have? Check with your email provider. Or, if you already have the email account you're trying to add to your Android set up on a PC or Mac using Outlook, try this.

  1. On the PC or Mac where you have Outlook installed, open Outlook select File > Info > Account Settings.

  2. In the Account Settings window check the Type column to see what type of account it is.

Troubleshoot email setup and sync issues on your Android device

If you're unable to set up email on your device try the following.

  • Double-check your username and password are typed correctly. Even one small typo will prevent your account from connecting.

  • If you added incoming and outgoing server settings, double-check you typed the names correctly. If you're not sure of the server settings for your email, contact your email provider.

  • Try accessing your email from another computer or device to make sure it's working okay. If it's not working on the other device, contact your email provider or your email administrator.

  • If you're setting up an Outlook.com account and you have two-step verification turned on, see the section I sync my Outlook.com email on an Android phone in App passwords and two-step verification.

  • If your device stops syncing, try removing the sync partnership. For work or school account using Office 365 for business, and some Exchange-based or Outlook.com accounts, see Fix email sync issues or remove a device from your Outlook on the web mailbox.
