Set up Office 365 for business

What you need to set up depends on what you want to do with Office 365, and which subscription plan you purchased. You can install just the Office apps (Word, Excel, etc.), setup existing email (like Gmail) and install Skype, or add a custom domain, email account, and users.

A key setup decision is whether you want to set up your own domain for email. For example, if your business is called "Fourth Coffee" you might want to use this name as your domain name in your email address, like this: "ryani@fourthcoffee.com". If so, you'll need to do this first, and before you install the Office applications. Follow the Set up everything path and add your custom domain. If not, you can just set up what's needed for your business.

If you just want to get started with the Office applications, and don't need the other services in Office 365 (or your subscription only includes the Office applications and not the other services), you can skip setup and go directly to downloading the applications.

  1. Install the full desktop version of Office (Word, Excel, Outlook, etc.) on your Mac or PC. You can install Office on up to 5 PCs or Macs.

Install the Office applications and use an existing email account (like Gmail) with Outlook

You might have an existing email account with another service, like Gmail or Yahoo, that you want to keep using. If so, you can download the Office applications (Word, Excel, PowerPoint, Outlook, and so on) and then set up Outlook to connect to your existing email account.

  1. Install the full desktop version of Office (Word, Excel, Outlook, etc.) on your Mac or PC. You can install Office on up to 5 PCs or Macs.

  3. After you've installed Office, you can set up Outlook on your Mac, PC, and mobile to work with your existing Gmail, Yahoo, or other email account.

Add users, install the Office applications, and start using email

If you want other people to be able to install the Office applications, you'll need to create accounts for them too. Creating an account will also set up their email mailboxes if your subscription includes email. Follow this path to add your users and then download the Office applications for yourself. Then, you can give your users their account information and tell them to sign in and download the Office applications for themselves.

Ready to start?
  1. You can quickly create accounts and email addresses for other people in your business so they can use Office 365: Add users individually to Office 365. After initial setup, you can add or delete users from your subscription any time.

  2. After you've created accounts for other people in your business, you and your team members can install the full desktop version of Office (Word, Excel, Outlook, etc.) on your Mac or PC. Each person can install Office on up to 5 PCs or Macs.

Set up everything (including a custom domain name)

Follow this path if you want to set up a custom domain name (like fourthcoffee.com) to use for your accounts and your email addresses.

  3. After you've installed Office, we'll help you set up Outlook to work with your new Office 365 mailbox. Everyone on your team will need to perform this step on their Mac or PC

  4. You and your users can import existing email and contacts from other email systems to your Office 365 mailbox so you can see it all in one place. Skip this step if you used the setup wizard to migrate email.

  5. You and your team members can install Skype for Business on all of your PCs and tablets and phones, and install Lync on your Macs. Then you'll be able to see the online status of your coworkers, start chats from other Office applications, and host video meetings with up to 250 people.
