You use the Lync Attendee - Options dialog box to set ringtones for your phone and other sounds, such as notifications.

View Ringtones and Sounds options

You can view Ringtones and Sounds options by doing one of the following.

  • Before you join a meeting, click Start, click All Programs, click Microsoft Lync 2010 Attendee, and then click Ringtones and Sounds. In the Lync Attendee - Options dialog box, click Ringtones and Sounds.

  • When you are in a meeting, click the Options button at any time, and then click Ringtones and Sounds.

Assign ringtones to calls

Microsoft Lync 2010 Attendee communications software provides a choice of ringtones, and you can specify different tones for different types of calls. Also, you can specify under what circumstances you want sounds to be audible.

  • In Ringtones and Sounds options, under Ringtones, in the Calls to list, click the type of call to which you want to apply a ringtone.

  • In the Ringtone list, click the ringtone that you want. Lync Attendee 2010 plays a test tone for you. You can adjust the volume of the ringtone on the device, for example on your speakerphone.

Select Sounds options

By default, Attendee plays sounds with certain events.

In Ringtones and Sounds options, under Sounds, if the Play sounds in Lync (including ringtones for incoming alerts and IM alerts) check box is selected, Attendee plays the selected ringtone when the phone rings. If you don’t want to hear IM alert sounds, select the Mute incoming IM alert sounds when viewing an IM conversation check box. You’ll also hear the Attendee sounds selected in the Sounds dialog box (click Sound Settings to change these).

To stop all Attendee sounds, clear the Play sounds in Lync (including ringtones for incoming alerts and IM alerts) check box.

Set specific sounds

To set specific sounds, do the following:

  1. In Ringtones and Sounds options, under Sounds, click Sound Settings.

  2. From the Sounds tab, the Program Events list, scroll down to Microsoft Lync 2010 Attendee.

  3. Under Microsoft Lync 2010 Attendee, click an event (such as Call Ended).

  4. In the Sounds list, click a sound file. To hear it, click Test.

The Sound dialog box has several tabs to choose from, including the Sounds tab, just described. The best possible combination of sound settings has automatically been selected to use for an online meeting. You can customize settings through the Playback tab (such as speakers) or the Recording tab (such as a microphone).

A fourth tab, the Communications tab, lets you indicate what you want to occur when communications activity, such alert notifications, is detected. The volume of different sounds when you are using your computer as a phone is automatically adjusted according to the following selections:

  • Mute all other sounds

  • Reduce the volume of other sounds by 80%

  • Reduce the volume of other sounds by 50%

  • Do nothing
