Print an envelope

The trick to printing an envelope is knowing which way to feed the envelope into your printer. Word helps with that by getting information from your printer and showing you the right feed option.

  1. Click File > New > Blank document.

  2. Click Mailings > Envelopes.

  3. In the Delivery address box, type the address.

  4. In the Return address box, type your return address.

  5. Load the envelope the way the picture shows under Feed.

    Word gets information from your printer about how to load the envelope.

  6. Click Print.

  7. When Word prompts you to save the return address, click Yes.

Note    Word doesn’t include built-in features for generating U.S. postal bar codes.

Change the size, font, or layout

  1. On the Envelopes tab in the Envelopes and Labels box, click Options > Envelope Options.

  2. To change the envelope size, click the arrow next to the Envelope size list and click the choice that matches the size of your envelopes.

  1. To change the font, click the Font button under Delivery address or Return address, and choose the font you want.

  2. To change the position of the addresses, click the up or down arrow next to the From left or From top boxes. The Preview area shows you the new layout.

Save your envelope settings and use them again

You can save all the settings you created here for future use: In that same box (Mailings > Envelopes) click Add to Document. You’ll see the envelope added to your document as page 1. Click File > Save As, choose a location, give the envelope a name, and click Save.

When you print another envelope, it’s just a few steps.

  1. Open the document you saved.

  2. Click Mailings > Envelopes.

  3. Type the delivery address you want and click Change Document.

  4. Click File > Print. Make sure your envelope appears in the preview area on the right.

  5. Under Settings, click the arrow next to Print All Pages and click Print Current Page.

Tip    To print multiple envelopes with the same address, type the number of envelopes you want to print in the Copies box.

Use addresses from your address book

Instead of typing the address, you can use an address stored on your computer.

  1. Click Mailings > Envelopes >Insert Address.

  1. Click the box under Address book and choose the address book you want to use.

  2. Click the name and address you want, and click OK.

You can find the name and address by scrolling through the list or by searching for the name.

Print envelopes for a mass mailing

Note    Because the POSTNET bar code that Word generates no longer qualifies for USPS bulk mailing discounts, Word no longer generates POSTNET bar codes.
