Insert a picture in Excel 2007 or PowerPoint 2007

You can insert or copy pictures and clip art into a Microsoft Office Excel 2007 worksheet or a Microsoft Office PowerPoint 2007 presentation from various sources. You can use pictures and clip art as backgrounds for your slides in Office PowerPoint 2007.

This article discusses inserting pictures or clip art in Office Excel 2007, in Microsoft Office Outlook 2007, and in Office PowerPoint 2007.

Do the following for all programs listed in the Applies To at the bottom of this article.

  1. On the Insert tab, in the Illustrations group, click Clip Art.

  2. In the Clip Arttask pane, in the Search for text box, type a word or phrase that describes the clip art that you want, or type all or some of the file name of the clip art.

  3. To narrow your search, do one or both of the following:

    • To limit the search results to a specific collection of clip art, in the Search in list, select the check box next to each collection that you want to search.

      When you search for clip art and pictures online, you'll be directed to Bing. You're responsible for respecting copyright, and the license filter in Bing can help you choose which images to use.

    • To limit the search results to clip art, in the Results should be list, select the Clip Art check box. You can also select the check boxes next to Photographs, Movies, and Sounds to search those media types.

  4. Click Go.

  5. In the list of results, click the clip art to insert it.

Tip   To insert clip art into the notes pages of your Office PowerPoint 2007 presentation, switch to Notes view, and then do the procedure above.

Insert a picture from a Web page

Do the following for all programs listed in the Applies To at the top of the article.

  1. On the Web page, right-click the picture that you want, and then click Save Picture As on the shortcut menu.

  2. Enter the name that you want in the File name box, and then click Save.

  3. In your worksheet, presentation, or e-mail message, on the Insert tab, in the Illustrations group, click Picture.

  4. Locate the picture that you saved in step 2, and then click Insert.

Tip   To insert a picture into the notes pages of your Office PowerPoint 2007 presentation, switch to Notes view, and then do the procedure above.

Copy a picture from a Web page

Do the following for all programs listed in the Applies To at the top of the article.

Tip   To insert a picture into the notes pages of your Office PowerPoint 2007 presentation, switch to Notes view, and then do the following.

  1. On the Web page, right-click the picture that you want, and then click Copy on the shortcut menu.

  2. In your worksheet, presentation, or e-mail message, right-click where you want to insert the picture, and then click Paste on the shortcut menu.

    Make sure that the picture that you choose is not hyperlinked to another Web page. If you choose a picture that is hyperlinked to another Web page, it will be inserted in your document as a hyperlink to that Web page instead of as an image.

Insert a picture from a file

Do the following for all programs listed in the Applies To at the top of the article.

  1. Click where you want to insert the picture.

  2. On the Insert tab, in the Illustrations group, click Picture.

  3. Locate the picture that you want to insert, and then double-click it.

    To add multiple pictures, press and hold CTRL while you click the pictures that you want to insert, and then click Insert.

    Note   Pictures that you insert from a file are embedded in your worksheet or presentation. You can reduce the size of the email message by linking to a picture instead. In the Insert Picture dialog box, click the picture that you want to insert, click the arrow next to Insert, and then click Link to File.

Tip   To insert a picture into the notes pages of your Office PowerPoint 2007 presentation, switch to Notes view, and then do the procedure above.

Insert a picture from a scanner

Applies only to Microsoft Office Excel 2007 and Office PowerPoint 2007

The From Scanner or Camera option for adding pictures to a presentation, photo album, or workbook is not available in Office PowerPoint 2007 or Office Excel 2007. Instead, you can add pictures from your camera or scanner by downloading the pictures to your computer first, and then copying them from your computer into PowerPoint or Excel.

Note   For more information about how to copy a picture file from your camera or scanner to your computer, see the documentation included with the camera or scanner.

After you download a picture to your computer, do the following:

  • On the Insert tab, in the Illustrations group, click Picture, locate the picture that you want to add to your presentation, photo album, or workbook and then click Insert.

Use a picture as a slide background

Applies only to Microsoft Office PowerPoint 2007

  1. In Office PowerPoint 2007, click the slide that you want to add a background picture to.

    To select multiple slides, click the first slide, and then press and hold CTRL while you click the other slides.

  2. On the Design tab, in the Background group, click Background Styles, and then click Format Background.

  3. Click Fill, and then click Picture or texture fill.

  4. Do one of the following:

    • To insert a picture from a file, click File, locate the picture that you want to insert, and then double-click it.

    • To paste a picture that you copied, click Clipboard.

    • To use clip art as a background picture, click Clip Art, and then in the Search text box, type a word or phrase that describes the clip that you want, or type all or part of the file name of the clip.

      To include clip art that is available on Microsoft Office Online in your search, select the Include content from Office Online check box, click Go, and then click the clip to insert it.

      Notes   

      • To adjust a picture's relative lightness (brightness) or the difference between its darkest and lightest areas (contrast), in the Format Background dialog box, click the Picture pane, and then choose the options that you want.

      • If you see a red X instead of your picture or clip art, see the troubleshooting steps in I see a red X and not my picture or clip art.
