Import contacts using Outlook Web App

Get your people contacts from another email service or program and add them to your Office 365 or other Microsoft Exchange-based email account.

If you have an Office 365 or other Microsoft Exchange-based email account, you can use Outlook Web App (the web browser version of Outlook), to import contacts from another email service or program. For example, you can import contacts from Gmail, Yahoo!, or Outlook.com (formerly Hotmail.com). Before you can import contacts using Outlook Web App, you need to export the contacts from the other email service or program.

If you use a desktop version of Outlook (for example, Outlook 2013 or Outlook for Mac 2011), you can also use that program (rather than Outlook Web App), to import contacts from another email service to your account. For more information, see What else do I need to know? in this article.

Before you begin

Before you can import contacts by using Outlook Web App, you first need to export the contacts from the other email service or program to a comma-separated value (CSV) file. A CSV (.csv) file is a common file format that is used to store contact information.

The steps you take to export contacts from another email service into a CSV file depend on the service or program from which you want to import. For steps that show you how to export contacts from Gmail, Yahoo!, and Outlook.com (formerly Hotmail.com), into a .csv file, see Export a contact list from other email accounts and services.

Import contacts by using Outlook Web App

  1. Sign in to Outlook Web App. For help, see Sign in to Outlook Web App.

  2. At the top of the page, select People. Or, select the app launcher Office 365 app launcher icon, and then select People.

  3. At the top of the page, select one of the following:

    • Settings Settings icon > Import contacts

      OR

    • Settings Settings icon > Options > People > Import contacts

  4. On the Import contacts page, select Browse, and then specify the location of the CSV file that contains the contacts you want to import.

  5. Select Import.

What else do I need to know?

Import contacts by using Outlook Web App

  • If the same contact is in your Contacts folder and in the CSV file, the contact is duplicated.

  • If you try to import too many contacts, you'll see an error message. Use a program such as Excel to open the CSV file and separate it into smaller files, and then import each newly created file separately.

  • If you don’t see the Import contacts option in Outlook Web App, you may be able to use a desktop version of Outlook to import contacts into your account.
