Get Office set up for your users in Office 365

As an admin for Office 365 for business, you can make Office available to your users in several ways. Users can use their existing version of Office with Office 365, install the latest version of Office from Office 365, or you, as an Office 365 admin, can use the Office Deployment Tool to deploy Office for your users.

Why we recommend Office for your users

Some Office 365 plans include the latest version of the Office client. For these plans, users can install Office on up to 5 PCs or Macs with a single Office 365 license. Users can also access Office 365 email and Office files from many mobile devices.

Things to consider

Here are a few things to keep in mind about the latest version of Office.

  • Office supports PCs and Windows tablets running Windows 7 or Windows 8, and Macs with Mac OS X 10.6 or later. Be sure to check the system requirements for Windows and the system requirements for Macs to make sure your computers can run the latest version of Office.

  • When users install Office, it's installed and runs on their local computers. Users don't need to be connected to the Internet all the time to use it, but they do need to connect once every 30 days.

  • It’s a good idea to uninstall older versions of Office before you install the latest version. However, on Windows computers, users can install the latest version of Office without uninstalling Office 2007 or Office 2010. We still recommend uninstalling the older version first, unless users need both versions.

  • To install Office on Windows computers, users must be members of the local administrators group on their computers, or they need to know the password of the local administrator account. You can type the password for them during installation, if you don’t want to tell them the password.

Impact to users

A user can use the latest version of Office on up to 5 PCs or Macs for as long as the subscription is kept up-to-date, and the user connects to the Internet at least once every 30 days. If these requirements aren’t met, Office goes into reduced functionality mode. In this mode, users can open and view existing Office files, but users can’t use most of the other features of Office.

Skills for successful completion

It’s easy for users to install the latest version of Office themselves. All you need to do is send them a link to the installation instructions. Users sign in to Office 365 and begin the installation process.

Users can start using Word, Excel, PowerPoint, and OneNote right away by using Office Online. This is the online version of Office that allows users to create and edit documents in their web browsers. Ask your users to visit Get started with Office Online in Office 365 to learn more.

Use the Office Deployment Tool to deploy Office

If you want extra control over how Office is installed on Windows computers, you can use the Office Deployment Tool to deploy the latest version of Office to your users. This tool lets you customize the installation. For example, you can decide which individual Office programs are installed for each user — such as only Word, PowerPoint, and Excel.

Use your existing version of Office

If users aren’t ready to install the latest version of Office, they can use Office 365 with their current version of Office. All they’ll need to do is sign in to Office 365 and run a program that makes some configuration changes and installs required updates.
