Filter your data in Dashboard Viewer for SharePoint Services

You can apply a filter to the data that appears in a dashboard. A filter has the effect of restricting the data that you see displayed in the dashboard. Thus, the elements of the dashboard, such as reports, charts, and scorecards, change to reflect the difference in data. For example, you might apply a time filter so that the dashboard reports and charts show only the results from the current year. You can also apply a geography filter if you want the reports to show only information from a city like Chicago, instead of displaying information from all North America.

Suppose that you are viewing a dashboard that contains a scorecard and several reports that display your Customer Relationship Management (CRM) statistics. The Status Filter allows you to see only those figures that are On Target, Off Target, or Slightly Off Target, while the Filter Mode lets you sort your KPIs according to Ascending, Descending, Top Ten, Worst Performing, and other customized criteria.

Apply one or more filter selections

  1. Locate an available dashboard filter on the screen. If you want to apply two or more filters, do so in the order in which you want to filter the data.

  2. Use the drop-down list to select the filter item that you want to use. If the filter has an expandable tree control, select the item or items that you want, and then click Apply. The reports and scorecards that are linked to the filter will update and display the filtered data. (If Apply is not available, you are using a simple list; the filter is applied automatically.)

Filter rows by indicator status

  1. On the Scorecard tool bar, click Filter Status.

  2. In the Only show rows with indicators list, select the type of indicator that you want to display in the scorecard view.

Switch between filter mode and view mode

  • On the Scorecard tool bar, click Filter Mode to switch to filter mode, or click View Mode to switch to view mode.

Filter a scorecard in filter mode

  1. On the Scorecard tool tool bar, click Filter Mode. A drop-down list appears under each column heading. The list provides a variety of options for sorting the data in the scorecard.

  2. In the drop-down list under each column heading, you can do any one of the following:

    • Click Sort Ascending to sort the scorecard rows from lowest to highest values.

    • Click Sort Descending to sort the scorecard rows from highest to lowest values

    • Click (All) to show all scorecard rows. Use this option to undo the (Top 10) and (Custom) options.

    • Click (Top 10) to show the scorecard rows that have the highest or lowest values. In the Numerical Ranking - Web Page dialog box, select either Top or Bottom, and then in the text box, type the number of rows that you want to display. Choose Items to display a fixed number of rows, or click Percentage to display a specified percentage of rows.

    • Click (Custom) to show a customized collection of rows that have values that meet specific criteria. In the Custom Filter - Web Page dialog box, select one or more operators in the drop-down lists. In the text boxes, type one or more numeric values. For example, you can select "is greater than" for the operator, and then enter a numeric value of 1000 if you want to show only grocery stores that have sales over $1,000.

Reset the reports and scorecards in the dashboard to the default view

  • Reset all the reports and scorecards on the page at the same time by clicking Refresh in the browser window.

  • Reset an individual report or scorecard by opening the Web Part menu, which is located in the upper corner of the individual item. Then select Reset View.
