Export a report or scorecard to Excel or PowerPoint

Dashboards give you an easy way to view up-to-date information in reports and scorecards, but you must have access to the dashboard to be able to view them. If you want to share that information with others who do not have access to the dashboard, and you have appropriate permissions, you can export the reports or scorecards to Microsoft Office PowerPoint 2007 or Office Excel 2007.

The types of elements that you can export include analytic charts and grids, scorecards, PivotChart and PivotTable reports, trend analysis charts, and strategy maps. To export dashboard items to Excel or PowerPoint, you must have the 2007 Microsoft Office system or the Microsoft Office Compatibility Pack for Word, Excel, and PowerPoint 2007 File Formats installed on your computer.

Important: Security settings that are present in the dashboard are not retained when you export a report or scorecard to Excel or PowerPoint. Be sure you follow your organization's security policies when you export data from dashboards.

If an element, such as a strategy map or trend analysis chart, does not export correctly to Office Excel or Office PowerPoint, contact an IT Administrator to confirm that the server is configured to support this functionality.

Export your report or scorecard to Excel

  1. Confirm that the report or scorecard that you have selected can be exported. Open the Web Part menu (do this by clicking the down arrow in the upper corner of the Web Part), and see whether Export to Excel is listed as an available menu option. If it is, you can continue.

  2. On the Web Part menu, click Export to Excel. This opens a File Download dialog box that prompts you to open or save the file.

  3. Click Open. Excel opens and displays your report or scorecard.

  4. In Excel, click the Microsoft Office Button Office button image (located in the upper corner of the screen) and then click Save As.

  5. Give your report or scorecard a name and then click OK.

  6. Close or modify the file. If you make any changes, remember to save the changes before you close the file.

Export your report or scorecard to PowerPoint

  1. Confirm that the report or scorecard that you have selected can be exported. Open the Web Part menu (do this by clicking the down arrow in the upper corner of the Web Part), and see whether Export to PowerPoint is listed as an available menu option. If it is, you can continue.

  2. On the Web Part menu, click Export to PowerPoint. This opens a File Download dialog box that prompts you to open or save the file.

  3. Click Open. PowerPoint opens and displays your report or scorecard.

  4. In PowerPoint, click the Microsoft Office Button Office button image (located in the upper corner of the screen) and then click Save As.

  5. Give your report or scorecard a name and click OK.

  6. Close or modify the file. If you make any changes, such as changing the PowerPoint slide theme, remember to save the changes before you close the file.
