Establish item-level permissions

You can can restrict users from viewing or editing items in a list by establishing item-level permissions. For example, you can set permissions for the list such that users can view only their own items, or you can set permissions such that users can view all items but edit only their own. When you create a new list, permissions are set so that all users can view and edit all items, regardless of who created them.

Restrict users from reading other users' items

Set read access permissions by using the following procedure:

  1. On the toolbar, click Settings, and then click List Settings.

  2. On the Customize List page, click Advanced Settings.

  3. On the List Advanced Settings page, under Item-level Permissions, click one of the following Read access options:

    • Click All items to allow all users to read all items in the list.

    • Click Only their own to allow users to read only the items they have created.

  4. Click OK.

Restrict users from editing items

Set edit access permissions by using the following procedure:

  1. On the toolbar, click Settings, and then click List Settings.

  2. On the Customize List page, click Advanced Settings.

  3. On the List Advanced Settings page, under Item-level Permissions, click one of the following Edit access options:

    • Click All items to allow all users to edit all items in the list.

    • Click Only their own to allow users to edit only the items they have created.

    • Click None to prevent all users from editing all items.

  4. Click OK.
