Have email in your inbox that you want to share with your group in Outlook? Easy! Just drag it to the group.

When you drag an email message from your personal mailbox to the group mailbox, any group member will be able to read it and participate in the conversation. The group will be added to the To line automatically so group members can continue to read and respond to subsequent replies.

Tip: If you just started a new group and want to fill it with messages that will give group members some history and context about the issues the group was formed to address, just drag those messages from your mailbox and you're ready to go!

How to

  1. Open Outlook for PC or Outlook on the web.

  2. Select an email message or conversation that you want to move to your group mailbox.

  3. Drag the message to the desired group. (You can only drag one conversation or 100 individual messages at a time if you are using Outlook on the web.)

If the original sender or recipients on the mail aren't group members, they will not be added to the group through the drag-and-drop process. They won't be notified that the message has been moved to the group either. Those who are already following the group in their inbox will not receive a copy in their inbox.

Note: If you accidentally moved the messages or conversations to the wrong group, you can forward it back to yourself and then delete the messages or conversations from the group. If you are using Outlook for PC, you will need to contact the group owner and have them delete the messages.

System requirements

Drag and drop is rolling out now to Microsoft 365 subscribers using Outlook for PC and Outlook on the web.

You can't drag and drop to the group mailbox in Outlook for Mac or Outlook for iOS and Android.
