In Visio Online, you can refresh data in a diagram in order to see any updates that were made to the linked data source. With the ability to refresh data, your diagram is like a live dashboard to which you and your team can continually refer.
Note: You cannot modify a diagram or its data in Visio Online.
To begin, you will need two things: A Visio diagram and a data source to which the diagram will be linked. Next, follow these steps:
Set up the data source to which the Visio diagram will be linked. Visio Online currently supports the following data sources in SharePoint Online:
Tip: You will need the URL of the data source in the following steps.
Open the diagram in the Visio Desktop application and link the shapes to the data source that was set up in the previous step. Learn more about importing data into Visio.
Once you have successfully linked the data source, upload your Visio diagram to SharePoint Online.
Note: Make sure that the data source and Visio diagram are part of the same SharePoint site.
Share the link of the uploaded Visio diagram with your colleagues who can now see the most up-to-date data in the dashboard. See Basic tasks in Visio Online to share your Visio diagram from within the app.
Refresh the data in your diagram
Open your diagram. You will see the following Refresh disabled alert message:
Click Allow Refresh.
Tip: For more detailed information, click Details...
Click Refresh Data in the command bar to refresh all data sources in the diagram.
Note: Refresh Data is unavailable (appears greyed out or dimmed) if there are no data connections that have linked shapes on the current page and background pages.
Conflicts may arise if you make a change to the data source, such as deleting linked rows or creating a new row with the same unique identifier as another row. In both cases, when you are in Visio Online, the Refresh Data command cannot refresh the data in all of the shapes because it can no longer match each shape to a row. If such conflicts occur, the Refresh Conflicts window appears. If you see this alert, open the file in the Visio desktop application and correct the data.
