Create a rule based on email message sender or recipients

In four clicks you can create and apply a rule that moves email messages based on the sender or recipients of an email message that you are reading. For example, if you are reading a message from Kari Hensien, you can create a rule that moves all messages from Kari Hensien to the folder that you specify.

Tip:  To create more advanced rules, see Manage email messages with rules.

Move all messages from the message sender

  1. On the Home tab, in the Move group, click Rules, and then click Always Move Messages From.

  2. Click a folder, and then click OK.

A new rule is created that moves all future messages from the specified person. The rule also immediately runs and moves any matching messages in the active open folder.

Move all messages sent to a message recipient

  1. On the Home tab, in the Move group, click Rules, and then click Always Move Messages To.

  2. Click a folder, and then click OK.

A new rule is created that moves all future messages that are sent to a specified recipient. The rule also immediately runs and moves any matching messages in the active open folder.

Edit or delete rules

  • On the Home tab, in the Move group, click Rules, and then click Manage Rules & Alerts.
