Cancel the approval process for a submitted document

The feature described in this Help topic is available only if any of the following versions of both Office SharePoint Server 2007 and Microsoft Office Enterprise 2007 are installed: Chinese (Traditional), Chinese (Simplified), Japanese, or Korean.

You can cancel the approval process for submitted documents. If you cancel the approval process, a cancellation notification is sent to the current approvers as well as to the previous approvers who have already signed the document. The current approvers no longer see the canceled file in their For Approval folder and the previous approvers in their Approved by Me folder. However, the submitter continues to see the file with the status changed to canceled in his or her Proposed by Me folder until the file is deleted.

  1. Open the Proposed by Me page. The Proposed by Me page contains all the files you have created until they finish the approval process and are either approved or rejected, allowing you to check their approval status any time.

  2. Click cancel link for the document to cancel the approval. The link only appears on the document that is on the approval process.

  3. Click Yes to cancel the process. Otherwise, click No.

  4. Confirm that the Status field for the canceled file has been changed to Canceled.
    You can resume the approval process by modifying the canceled document. To learn more about how to do so, see Modify a rejected or canceled document to resubmit for approval.

  5. If needed, you can delete the canceled file. Rest the pointer on the canceled file, click the down arrow that appears, and then click Delete.
