The calendar is fully integrated with email, contacts, and other features of Outlook Web App. Use Calendar settings to control the default appearance and settings for your calendar.

This article is for Outlook Web App, which is used by organizations that manage email servers running Exchange Server 2013 or 2010. If you're using Microsoft 365, or Exchange Server 2016 or 2019, your email program is Outlook on the web. For help with Outlook on the web, see Get help with Outlook on the web.

  1. In a web browser, sign in to Outlook Web App using the URL provided by the person who manages email for your organization. Enter your user name and password, and then select Sign in.

  2. At the top of the page, choose Calendar.

  3. At the top of the page, select Settings Settings icon > Options.

  4. In Options, select Settings, and then select Calendar.

Show work week as

Select the days to display when you choose the Work Week view in the calendar.

Set your working hours

Select the Start time and End Time for your working hours. Non-working hours appear in a darker color than the rest of your calendar. When you're using the Scheduling Assistant, the work times of each attendee are considered in the suggested meeting times.

Show week numbers in Month view

Select this check box to show the number of the week when you view the calendar in Month view.

First day of the week

The day you select here will appear as the first day of the week in Week view.

First week of the year

If you have Show week numbers in Month view turned on, you can choose where to start the numbering: the first day of the year, the first four-day week, or the first full week.

Show hours in

Use this setting to set the increments in which the calendar shows time. Use the option buttons to select 15-minute increments or 30-minute increments.

Reminders settings control the default reminders for items on your calendar. By default, reminders are turned on and set for 15 minutes before an item is due.

Select this check box to display a reminder for calendar items.

Play a sound when a reminder is due

Select this check box to play a sound when a reminder is due.

Default reminder

Use this setting to set how far in advance of an event you want the default reminder to appear.

Use Automatic processing settings to control how meeting requests, responses, and notifications are handled.

Delete meeting requests and responses that have been updated

Select this check box to automatically remove out-of-date meeting requests and responses from your Inbox.

Delete notifications about forwarded meetings

Select this check box to automatically put meeting forward notifications in the Deleted Items folder. By default, you'll receive these notifications when a meeting you organize is forwarded to a new recipient by one of the meeting attendees. Selecting this option doesn't affect the processing of meeting request responses.

You can have notifications about calendar events sent directly to your phone as text messages. If you haven’t already set up text messaging notifications, you’ll see a button labeled set up notifications. After you’ve set up text messaging notifications, you’ll be able to manage these settings.

Notifications when my calendar is updated in the next <number of days) days

Select this check box to receive text notifications about updates to your calendar. After you select this check box, select from a range of one to seven days. Select the Only during working hours check box to limit notifications to the work hours you set in the Appearance settings.

Notifications for meeting reminders

Select this check box to be sent text notifications of upcoming meetings. Select the Only during working hours check box to limit notifications to the work hours you set in the Appearance settings.

Daily calendar agendas

Select this check box to receive a daily agenda via text message. After you select this check box, choose the time you want the agenda sent.

If you’re having issues with your calendar, use the Let us help you troubleshoot your calendar link to contact support. To use it, select the link and:

  1. Select Settings > Options> Settings > Calendar.

  2. Select Let us help you troubleshoot your calendar.

  3. Enter the subject of the calendar item you're having issues with in Search for these words in the subject line.

  4. Select Send.

Support will contact you after they’ve reviewed the calendar logs.
