Assign records to your co-workers in Business Contact Manager

Assigning records such as Accounts, Business Projects, or Project Tasks to your co-workers distributes the workload and helps people to know exactly whom they should be contacting or following up with. Your employees will know which parts of your business they are responsible for.

Note: You can assign records to only those co-workers who have been granted access to your shared database. For information about how to share your database and add a user to the list, see Share your Business Contact Manager data with other users.

  1. In the Navigation Pane, under Business Contact Manager, click one of the following folders to display the workspace:

    • Contact Management.

    • Sales.

    • Project Management.

      Note: You cannot assign marketing activities to anyone.

  2. Click the tab that contains the records that you want to assign to a co-worker.

  3. Click the records that you want to assign.

    How do I select more than one record?

    To select records that are adjacent to each other, press the SHIFT key, and then click the first and last records of the group that you want to add. To select nonadjacent records, press the CTRL key, and then click the individual records. To select all records, click one, and then press CTRL+A.

  4. On the Ribbon, on the Home tab, in the Edit group, click Assign To, and then click the name of your co-worker.

    Note: The list includes only those people who have been granted access to your shared database. For information about how to share your database, see Share your Business Contact Manager data with other users.

Tip: You can sort the list on a tab by the names of the people the records are assigned to. On the Ribbon, click the View tab. In the Arrangement group, click By Assigned To.

Remove a user from the Assigned to list

You can only remove users from the list in the Remove User Names from Assigned To List dialog box. You cannot add names, and you cannot remove the name of the owner of the database.

  1. In the Navigation Pane, under Business Contact Manager, click one of the following folders to display the workspace:

    • Contact Management.

    • Sales.

    • Project Management.

  2. Click any tab, and then double-click any record to open it.

  3. In the Assigned to field, click Edit this list.

  4. In the Remove User Names from Assigned To List dialog box, click the name of the user whom you want to remove from the list, and then click the Remove button.
