Assign forms and reports to a user in Planning Business Modeler

In PerformancePoint Planning Business Modeler, you can assign forms to users in the Forms Assignment page. The process of assigning forms to users represents the start of an assignment. During this process, you can add users to the assignment as contributors, reviewers, and approvers. When you assign a form, and therefore create the assignment, you can also specify assignment properties such as assignment name, form name, submission period, and assignment deadlines.

Assign forms to a user

  1. In the Workspace Browser pane, click Process Management, and then in the Cycles workspace, click a cycle definition or cycle instance to open it. If no cycles exist, see the topic Create a cycle in Planning Business Modeler Help.

  2. Click the Forms Assignment tab.

  3. In the Assignment Tasks pane, click Assign Forms. The Create an Assignment Definition or Create an Assignment Instance wizard is displayed.

  4. In the Name box, enter a name for the assignment. The name must be from one to 256 characters and it is meant to be a "user-friendly" descriptor for an object.

  5. In the Label box, enter a label for the new assignment. The label is the primary identifier of objects throughout the system, cannot exceed 40 characters, and must be unique. For more information about label restrictions, see the topic About names and labels.

  6. (Optional.) In the Description box, enter a description for the assignment. The description can be up to 512 characters long.

  7. Click Next to move to the Data Submission page.

  8. Select the contributor or contributors for the assignment.

    1. To select a user or role, select the Contributors option button, and then click Edit. In the Select Contributor dialog box, select a user or role in the list of available users and roles. Then click the > button to move the selected user or role to the Selected user/role box. For an assignment definition, you can select one user or role only. For an assignment instance, you can select multiple users and roles. When you are finished, click OK.

    2. To select a submission hierarchy, select the Submission Hierarchy option button, and then click Edit. This option is available for assignment definitions only. In the Select Submission Hierarchy dialog box, select a member set in the Available member set box. Then click the > button to move the selected member set to the Selected member set box. When you are finished, click OK. For information about submission hierarchies, see About submission hierarchies in Planning Business Modeler Help.

  9. Click Edit next to the Form box. The Select Forms dialog box is displayed.

  10. In the Available forms box, select the form that you want to assign. Then click the > button to move the form to the Selected form box. For an assignment definition, you can assign one form only. For an assignment instance, you can assign multiple forms. When you are finished, click OK.

  11. Click Next. The Submission Period page is displayed.

  12. In the Importance drop-down list, select an importance level for the assignment.

  13. In the Start Date and Time area, select the date and time that you want the assignment to begin.

    1. For an assignment definition, select a relative date by using the Days after Cycle start date or Days before Cycle end date option and a specified number of days. Then select the time of day.

    2. For an assignment instance, select a specific date and time or use the Days after the start of cycle box to select the number of days after the start of the associated cycle. The start date and time must be after the start of the cycle and before the end of the cycle.

  14. In the Submission Deadline area, select the date and time that all forms for this assignment should be submitted by.

    1. For an assignment definition, select a relative date by using the Days before Cycle end date or Days after Assignment start date option and a specified number of days. Then select the time of day.

    2. For an assignment instance, select a specific date and time or use the Days after start of assignment box to select the number of days after the start of the assignment.

  15. Under If no submission has been made by the submission deadline, select one of the radio buttons, and then click Next.

  16. Under Select a workflow for the data submissions, select one of the four choices, and then click Next.

    1. If you selected No review or approval, the Assignment Summary page is displayed. Complete only step 23.

    2. If you selected Review Only, the Review page is displayed. Complete steps 17-19 and 23.

    3. If you selected Approval Only, the Approval page is displayed. Complete steps 20-23.

    4. If you selected Review and Approval, the Review page is displayed. When you have completed the Review page, the Approval page is displayed. Complete all steps.

  17. On the Review page, to select reviewers for the assignment, click Edit next to the Reviewers box. The Manage Reviewer(s) dialog box is displayed.

  18. In the list, click to select a user or role, and then click the > button to add the user or role as a reviewer for the assignment. You can add multiple users and roles to an assignment. When you have finished selecting users or roles, click OK.

    The users and roles you selected are displayed in the Reviewers text box.

  19. In the Review Requested By combo box or in the Days after assignment start date combo box, enter or select the date by which you want the review to be completed, and then click Next.

  20. To select approvers for the assignment, click Edit next to the Approvers text box. The Manage Approver(s) dialog box is displayed.

  21. In the list, click to select a user or role, and then click the > button to add the user or role as an approver for the assignment. You can add multiple users and roles to an assignment. When you have finished selecting users or roles, click OK.

    The users and roles you selected are displayed in the Approvers.

  22. In the Approval Requested By combo box or in the Days after assignment start date combo box, enter or select the date by which you want the assignment approvers to be completed. Then click Next.

  23. Review the information in the Assignment Detail section, and then click Finish.
