Accessibility in Word for iPad

When using Word for iPad, a number of iOS Accessibility features are available, including VoiceOver, Speak Selection, Zoom, Invert Colors, and Increase Contrast. This topic helps you use VoiceOver for many common document tasks.

Use VoiceOver in Word

Use VoiceOver to hear verbal tips about what appears onscreen. When your cursor focuses on an item onscreen, VoiceOver announces the item's name or describes it.

Note: If you use VoiceOver with an external keyboard and you want to use keyboard shortcuts, make sure QuickNav is turned off. On your external keyboard, press the left and right arrow keys together. VoiceOver announces that QuickNav is turned off. Press the arrow keys again to turn QuickNav on.

Connect to a cloud storage service

Connect to your OneDrive for Business, OneDrive, or Dropbox accounts. Once connected, you can get to your files stored in these accounts right from your iPad.

  1. Open the app and move focus to Account Settings on the File Open screen.

    Note: If you have a Word file open and want to return to the File Open screen, use the Save and Close button in the top-left corner of the application.

  2. Double-tap Account Settings to open the Account screen. The Account screen provides your current login information, followed by a list of your Connected Services and an option to Add a Service at the bottom of the screen.

  3. Tap, then double-tap Add a Service to connect your files stored in the cloud to your iPad. The Add a Service screen lists available services in this order: OneDrive, OneDrive for Business, and Dropbox.

  4. Select the service you’d like to add, and then follow the login instructions.

  5. Return to the Account menu, and your new service will be listed under Connected Services.

Connect to SharePoint

Use your work or school account to access team sites on SharePoint.

  1. Open the app and move focus to Account Settings on the File Open screen.

  2. Double-tap Account Settings at the top-left of the File Open screen and sign in to the app.

  3. In the Account screen, select your team site from the list of your Connected Services.

Navigate a document

VoiceOver rotor: Use the VoiceOver rotor to choose how you want to move through a document when you swipe up or down. For example, if you choose Words, your insertion point moves through the document word by word with each swipe.

Scrolling: Move three fingers up or down to scroll through a document. When you lift your fingers from the screen, VoiceOver identifies the page you are on.

Ribbon: Tap, and then double-tap the Home tab on the ribbon.

  • To move to another tab, swipe right or left with one finger to move through the tabs. Double-tap a tab to bring it in to focus.

  • To choose a button beneath a tab that is in focus, swipe right or left to move through the tab's button options.

  • To hide the ribbon, double-tap the ribbon, and then double-tap again.

Search a document

Move focus to the search button on the top far-right of the app. Double-tap to open the search field box and type a search term. VoiceOver speaks each letter you type, identifies the number of matching terms found in the document, and provides a description of where the matched terms are located in the document.

To find and replace a term, move focus to the search options button to the left of the search field. Double-tap to open the Options screen and then swipe down to choose one of these options: Find, Find and Replace, Match Case, or Whole Words.

To close the Search pane and move focus to your found result, use two fingers to swipe a Z gesture.

To dismiss the Search pane and move focus to the top of your document, double-tap on the document.

Select and edit text

  • Select content: To edit text, move VoiceOver focus to the text that you want to edit. Double-tap to place the cursor in the text and then type your changes.

    To select an image or shape, move focus to the object and double-tap.

    To select text by using the VoiceOver cursor, rotate the VoiceOver rotor to Edit mode and then move two fingers away from each other on the screen in a zoom-out like gesture.

  • Use contextual menu: Move focus to the text that you want to edit, then double-tap with two fingers to open the contextual menu on the page. Swipe right or left to move through the contextual menu options. Double-tap to select the option you want.

    Notes: If double-tapping with two fingers doesn't open the contextual menu, check that Voice Dictation is turned off.

    1. Go to Settings > General > Keyboard.

    2. Scroll down to Enable Dictation and tap the toggle button to off. In the confirmation screen, tap Turn Off Dictation.

    The contextual menu closes after completion of an action. You can also dismiss the menu using two fingers to swipe a Z gesture.

  • Add or revise headers and footers: To edit text in the header or footer, tap the top or bottom of the page, then double-tap to open the header or footer region. Swipe right or left to move through the content, then double-tap text to edit it. Double-tap anywhere in the document to close the header or footer region.

    If your document doesn't have a header or footer, you can add one by using commands on the Insert tab of the ribbon.

Format text

Use the Home, Insert, or Layout tabs on the ribbon to change the look and feel of your document.

  1. Move focus to the document area that you want to format.

  2. Tap in the ribbon, and then swipe to move to the formatting option you want. Double-tap the tab..

  3. Swipe right to move focus to the formatting option you want, and then double-tap to format your content.

Work with tables

VoiceOver announces each table it encounters, and the number of rows and columns in that table.

To move through a table, swipe right until you hear the table announced, then double tap. Swipe left or right to move through the cells in each row. Double tap a cell to edit it.

Add Styles

Refine the look of your document's text, tables, and shapes using Styles.

  • Text styles: Move focus to the last button on the Home tab, and then double-tap to open the Styles menu. Swipe down to select a Title or Heading style.

  • Table styles: Move focus to the Insert tab in the ribbon, then swipe to move to the Table button, and double-tap it. Move focus to the Table tab on the far right of the ribbon, and then tap and double-tap Table Styles. In the Table Styles menu, swipe left or right to select a style, then double-tap it to insert it into the document.

  • Shape Styles: Move focus to the Insert tab in the ribbon, then swipe to move to the Shapes button, and double-tap it. In the Shapes menu, swipe left or right to select a style, then double-tap the shape to insert it in the document.

Turn on and review tracked changes

To turn on tracked changes, and also review comments, move focus to the Review tab in the ribbon.

  1. Swipe to move focus to Show Markup, then double-tap to open the Show Markup menu.

  2. Swipe down to bring focus to Show Revisions in Balloons, then double-tap.

  3. Move focus to the Review tab in the ribbon, then swipe to move focus to Track Changes. Double-tap to turn the toggle button on.

To review tracked changes, move focus to the Review tab on the ribbon, then tap, and double-tap Next Change.

Review comments and footnotes

If you have tracked changes turned on, you can review comments in your document. Move focus to the Review tab on the ribbon, then tap, and double-tap Next Comment.

To add a comment, double-tap the content with two fingers to open the contextual menu. Swipe right or left to move through the contextual menu, then double-tap to select New Comment.

Swipe right or left within a comment or footnote to return to the document text.

Open and edit hyperlinks

To insert a hyperlink in to your document, move focus to the Insert tab in the ribbon, then swipe to move to the Hyperlink button, and double-tap it to open the Hyperlink menu. Swipe right or left to move focus through the hyperlinks fields. Double-tap each field to type in the requested information.

When you move the focus to a hyperlink within a document, VoiceOver announces the displayed text of the hyperlink. Use two fingers to double-tap the hyperlink to open the contextual menu, then swipe to move focus to the Hyperlink option.

Use keyboard shortcuts

If you use VoiceOver with an external keyboard and you want to use keyboard shortcuts, make sure QuickNav is turned off. On your external keyboard, press the left and right arrow keys at the same time. VoiceOver announces that QuickNav is turned off. Press the arrow keys again to turn QuickNav on.
