Manage passwords in Office 365 for Small Business

As an Office 365 for Small Business admin, you'll need to manage how passwords work in your organization. You'll be able to set how long your user's passwords last before they expire, as well as reset forgotten passwords, for yourself and others.

Manage password expiration

Follow the steps or video below to set how long passwords last before they expire.

  1. Sign in to Office 365 with your work or school account.

  2. In Office 365, select Admin. Or, select the app launcher Office 365 app launcher icon, and then select Admin.

  3. On the admin page, under service settings, click any link.

  4. On the service settings, click passwords.

  5. Under password expiration policy, enter the number of days you want before passwords expire, and then click save. Your users will get a reminder 14 days before their password expires to change it.

Reset a password

If someone in your organization forgets their password, they'll need you to help them reset their password. Follow the steps or video below to reset a user's password.

  1. On the admin page, under users and groups, click add users, reset passwords, and more.

  2. Select the user who's password needs to be reset, and then click Reset password.

  3. Use the send results in email page to enter an email address to send a temporary password for the user. Make sure it's not their Office 365 email address since they can't get into their email.

  4. On the results page, click finish to send the user their temporary password. They'll be required to change that password the next time they log into Office 365.

Reset an admins password

As an admin, if you forget your own password, you can either get another admin to reset your password for you using the steps above, or reset it yourself. Your admin account must have the following information before you reset your account:

  • An alternate email address.

  • A mobile phone number that can receive text messages.

Follow the steps or video below to reset your own password.

  1. On the Office 365 sign in page, click Can't access your account?

  2. On the Reset your password page, enter your email address and the required characters and click Next.

  3. Make sure you don't close the Reset your password page and go to the inbox of the email address you entered to reset your password.

  4. Follow the instructions in the email. If you received a text message, go back to the Reset your password page and enter the security code, and click Next.

  5. On the Create a new password page, type your new password, and click Finish. You can now sign in to Office 365 with your new password.
