Microsoft Bookings is an online and mobile app for small businesses who provide services to customers on an appointment basis. You can use Microsoft Bookings as a stand-alone Office 365 app, or you can use Microsoft Bookings as part of the Business center. While the two are very similar, there are a couple of important differences between the two:
The stand-alone Bookings app allows a user to create multiple calendars, each one with its own business address and contact list. A business with multiple locations might create one calendar for each location.
In contrast, the Business center app is meant to help a business manage a single location. All the functions within the Business center use a single business address and contact list. Check out the Business profile in the Microsoft Business center section in the Manage your business apps in the Business center topic.
To use Microsoft Bookings in the Business center, only a single Bookings calendar can be used. This ensures the other Business center apps work together, aligning with a single address and contact list.
What it means to link a Bookings calendar to Business center
There can only be one Bookings calendar linked to the Business center, and every user in your company will see that same calendar when they visit the Business center. When a Bookings calendar is linked to the Business center, a few things will change:
The contact list on the Bookings calendar will be synchronized with the contact list in Business center.
The business information on the Bookings calendar, such as business address, hours, and logo will overwrite information in the Business center’s business profile.
You should only link a calendar if your business only uses one Bookings calendar for everyone. If you need to manage multiple Bookings calendars, we don't advise using the Business center to access Bookings.
How to link an existing Bookings calendar to the Business center
If anyone in your company has created a Bookings calendar in the past, you'll see a message when you go to the Business center and click on Bookings. If you're a global admin, you'll have two options:
Link a Bookings calendar to Business center
You can choose an existing calendar to link to, or you can create a new calendar which will automatically be linked. You will only be able to link an existing calendar if you are an administrator staff member of that calendar. You may need to ask the owner of the calendar to grant you administrator access to it.
Open Bookings in a new tab
Choose this option if you don’t want to link a calendar right now. This option will take you out of the Business center, allowing you to use Bookings as you did before.
If you're not a global admin, you will need to ask a global admin in your organziation to perform the link. Otherwise, you can open Bookings in a new tab, allowing you to use Bookings as you did before.
How to unlink a Bookings calendar from the Business center
If you linked the wrong calendar to Business center, you can easily unlink it and choose another one. You must be both a global admin, as well as an administrator staff of the Bookings calendar which is currently linked.
Go to the Business center and click on Bookings.
When the calendar loads, click on the "…" button in the top-right corner of the calendar.
Chose Unlink this calendar.
You may need to refresh the page, but the next time you go to the Bookings tab of the Business center, you'll have the option to link another calendar.
