Microsoft Office InfoPath 2007 form templates are designed to be viewed and completed on a computer. However, your users may opt to print a copy of a completed form for their personal records or for other reasons, so you should verify that the form looks acceptable when it is printed. For example, you will want to make sure that controls fit within the margins of the printed page and that text on the form template is readable when printed.

Print a form template

You can print your form template to get a general sense of how controls and other objects appear on the printed page, or to verify print settings, such as headers or footers.

Note: When you follow the steps below, you may see certain items on the form template, such as buttons, that don't actually appear when the user prints the form.

  1. On the Standard toolbar, click Print .

  2. To adjust the print settings, click Page Setup on the File menu, and then select the options that you want on the Page Setup and Print Settings tabs.

Print the form as the user would see it

When users print a form, InfoPath makes adjustments to the form or removes certain items that don't make sense in a printed context. For example, the Insert Item instructional text that appears by default under repeating tables won't appear in the printed form. Neither will button controls, list box entries, or scroll arrows, as these items lose their meaning on the printed page.

  1. On the Standard toolbar, click Preview.

  2. In the Preview window, on the Standard toolbar, click Print .

  3. To adjust the print settings, close the Preview window. On the File menu, click Page Setup, and then select the options that you want on the Page Setup and Print Settings tabs.
