The new co-authoring functionality in Microsoft Office 2010 makes it possible for multiple users to work productively on the same document without intruding on one another’s work or locking each other out.

You can use this new co-authoring functionality in Microsoft PowerPoint 2010, Microsoft Word 2010, and Microsoft OneNote 2010 documents on SharePoint Server 2010.  New co-authoring functionality is also supported in Excel Web App and OneNote Web App.

When you are working in a document at the same time as another author, certain parts of the document might be blocked to you because they are being worked on by someone else.

When a part of the document is blocked, the following commands are not available within the blocked part of the document.

Home tab, Clipboard group

The following commands are not available:

  • Cut

  • Paste

Home tab, Font group

All commands in the Font group are not available.

Home tab, Paragraph group

All commands in the Paragraph group are not available.

Home tab, Styles group

All styles and style sets are unavailable. You cannot change the styles, colors, or fonts that are applied to text.

Insert tab, all groups

You can insert headers and footers and cover pages.

All other commands on the Insert tab are unavailable.

Page Layout tab, Page Setup group

The following commands are not available:

  • Breaks

  • Columns

  • Hyphenation

  • Line Numbers

Page Layout tab, Page Background group

The following commands are not available:

  • Page Color

  • Some options for the Watermark command

Page Layout tab, Paragraph group

All commands in the Paragraph group are not available.

Page Layout tab, Arrange group

The following commands are not available:

  • Position

  • Wrap Text

  • Bring Forward

  • Send Backward

  • Align (You can view gridlines, but you can’t change the alignment.)

  • Group

  • Rotate

References tab, all groups

You can manage bibliography sources and change the bibliography style. You can also click from one footnote to the next.

All other commands on the References tab are unavailable.

Mailings tab, all groups

All commands on the Mailings tab are unavailable.

Review tab, Changes group

The following commands are not available:

  • Accept and Move to Next

  • Reject and Move to Next

Other actions that are not available

The following actions are unavailable:

  • Deleting text by pressing the DELETE key

  • Deleting text by pressing the BACKSPACE key

  • Typing new text

  • Dragging and dropping text

  • Replacing text by using the Replace command

  • Inserting a page break in the blocked area
