Use multiple calendars

Your browser does not support video. Install Microsoft Silverlight, Adobe Flash Player, or Internet Explorer 9.

If you frequently schedule meetings with certain people, or have people working for you, you can open their calendar to view their schedule.

View another person’s calendar
  1. Select Calendar Calendar .

  2. Select Home > Open Calendar > From Address Book…

  3. Select a contact, select Calendar, and then select OK.

  4. In the navigation pane, in Shared Calendars, right-click the name of the person and select Color.

    Note: You can select Overlay to see it directly on top of your calendar.

  5. To change the calendar view, select an option:

    • Day

    • Work Week

    • Week

    • Month

    • Schedule View

  6. To hide the other person’s calendar, under Shared Calendars, uncheck the box next to their name.

  7. To delete the other person’s calendar, right-click the name of the person and select Delete Calendar.

  8. To delete the entire shared group, check the Shared Calendars box, right-click the group, and select Delete Group.

  9. If you never use Shared Calendars and want to delete it, right-click Shared Calendars, and select Delete Group.

  10. Select Yes to confirm.

View multiple calendars at the same time

If I'm frequently creating meetings with the same people, or if I have employees that work under me and I need to see their schedules, I can open their calendars right from my computer.

I'm in the Calendar now, and on the lefthand side underneath my calendar, I can already see Leslie's here, because she's added me as a Delegate for her calendar.

I'm going to hover my mouse on this horizontal line and click and drag up so that we can see this area a little bit more clearly.

If somebody hasn't added me as a Delegate, however, I can still open their calendar.

From the Home ribbon tab in the Calendar, click Open Calendar, and then choose From Address Book.

I could also choose From Internet and open up a URL-based calendar.

For now, though, I'll click Address Book, and I'm prompted with my company address book.

For this purpose, I'm going to choose Leslie again, click Calendar, and then click OK.

It's going to open up in the Shared Calendars area on the lefthand side, and I can see Leslie's calendar right next to mine.

I can right-click on her calendar and change the color of it.

I can also click Overlay to see it directly on top of mine.

It doesn't matter if I change the arrangement of the calendar, whether it's Week, Month, or Work Week, it will still be arranged the same way.

I can hide her calendar from showing up over mine by unchecking it.

When I'm ready to view it again, I can place another checkmark beside it.

I can also delete her calendar completely.

I can right-click on her name and select Delete Calendar.

I'm not deleting Leslie's calendar.

I'm only deleting it from my Shared Calendars.

In fact, I can delete this entire group called Shared Calendars.

I can right-click on Shared Calendars and choose Delete Group.

I'll click Yes, I want to remove the group, Shared Calendars, and now I won't have to look at it if I never use Shared Calendars.
