Use a screen reader to schedule events in Calendar

Use Calendar for Windows 10 with your keyboard and screen reader to schedule calendar events and send event invitations. We have tested it with Narrator, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

Schedule a new calendar event

Note: Outlook distinguishes between appointments, which are calendar events that do not involve other people, and meetings, which do. In Calendar for Windows 10, these are both considered calendar events.

  1. To create a new event, press Ctrl+N. The new event window opens, with the focus on the Event name field.

  2. Enter a name for your event.

  3. To set a location for the meeting, press the Tab key until you hear "Location," and then enter the location.

  4. To set the start and end date and time for the event, press the Tab key until you hear the default date or time. To change a date, enter a new date in the Start date or End date field, for example "February 1, 2018." To change a time, press the Up or Down arrow to adjust the default time at 30 minute increments, and then press Enter to select it.

    Tip: To create an all-day event, press the Tab key until you hear "All day, checkbox," and then press Enter.

  5. To add more information about the event, press the Tab key until you hear "Event description," and then enter a description for the event.

  6. To set the alert time for the event, press Alt to move to the ribbon, then press the Down arrow key once, and press the Right arrow key until you hear: "Reminder." Press the Up and Down arrow keys to browse the list of reminder options and press Enter to select one when you hear the one you want.

  7. When you're done adding the event details, press Ctrl+S to save the event. The new event window closes, and the focus moves back to the calendar view.

Invite other people to an event

  1. When you're editing or creating an event, press the Tab key or Shift+Tab until you hear "Invite someone."

    Note: To learn how to open and edit calendar events, refer to Open, read, and edit calendar events.

  2. Enter a search term for the contact you want to add. You hear the number of suggestions as you type. Press the Up and Down arrow keys to browse the list of suggestions and press Enter to select one when you hear the one you want. If you want to add more contacts, repeat for other invitees.

  3. When you're done adding people, press Ctrl+S to save the event and send out invitations to all invitees.
