Upgrading Microsoft Office Accounting

Microsoft Office Accounting 2008 is available in multiple versions to best meet your needs as a small business owner. If you already have a version of Office Accounting 2007 or a version of Office Accounting 2008 installed, such as Accounting Express 2008, you can easily upgrade to another version.

Depending on which version of Office Accounting 2008 you have installed, you will have to take specific steps to ensure that the company data you created in one version of Accounting 2008 is available in the upgrade version.

This document describes the upgrade scenarios and shows the steps you should take when you install an upgrade version.

Accounting 2008 versions

Office Accounting 2008 is available in the following versions.

Accounting Express plus the Accounting Professional budgeting feature and additional reports pack.

Office Accounting Professional

Full professional features, such as purchase orders, sales orders, payroll, online sales, online banking, advanced reports, and multiple users.

Office Accounting Premier

Accounting Professional plus one year of prepaid services (Payroll for Microsoft Office Accounting and eBay).

Office Accounting Professional Trial

Free version available as a download. Full professional features for a 60-day or 120-day trial period. When the trial period expires, the software reverts to Accounting Express.

Upgrading from Office Accounting 2007

If you have Office Accounting 2007 installed, you can install any version of Accounting 2008 without conflict between program versions. When you install Accounting 2008, the program installer will not detect the existence of Office Accounting 2007.

Whether or not you uninstall Accounting 2007, you can continue using the company that you set up in Accounting 2007, but you must upgrade the company file. After you upgrade the company for Accounting 2008, you will no longer be able to open it in Accounting 2007. However, you can restore the company file in Accounting 2007 from the backup file that Accounting 2008 creates when it upgrades the company file.

Install Accounting 2008 after uninstalling Accounting 2007

If you uninstall Accounting 2007, including the SQL Server 2005 Express database, before you install Accounting 2008, you can open and upgrade the company that you created in Accounting 2007 after you install Accounting 2008.

To open and upgrade the company file in Accounting 2008, do the following:

  1. Install Accounting 2008.

  2. Start Accounting 2008 and, on the start page, click Open an existing company.

  3. In the Select Company File dialog box, select the company that you want to open, and then click Open.

  4. On the Select backup settings page, click Upgrade.

    Note: If you change the location of the backup file, Accounting 2007 will not automatically find it when you want to restore it.

Note: Although you can restore the company in Office Accounting 2007 by using the backup file, changes that you make to the company in Office Accounting 2008 will not show in the restored company. You can't go back and forth between versions using the same company file.

Install Accounting 2008 without uninstalling Accounting 2007

If you do not uninstall Accounting 2007 before you install and start Accounting 2008 — or if you uninstall Accounting 2007 without removing the SQL Server 2005 Express database MSSMLBIZ — Accounting 2008 will automatically use the MSSMLBIZ database instance of SQL Server 2005 Express and start the Upgrade Company Data wizard to upgrade the company data file you created in Office Accounting 2007.

To uninstall Office Accounting 2007 without removing the SQL Server 2005 Express database MSSMLBIZ, do the following:

  1. Uninstall Office Accounting 2007 by using the uninstall tool in Control Panel.

  2. On the Select components to remove page, clear the Microsoft SQL Server 2005 Express (MSSMLBIZ) check box.

  3. Click Next and continue uninstalling Accounting 2007.

When you install Accounting 2008, the program will automatically open the company that you created in the earlier version.

Upgrading from a version of Office Accounting 2008

If you are upgrading to Office Accounting Standard or Professional from Accounting Express 2008 or upgrading from Accounting Standard to Accounting Professional, you don't need to upgrade the company file, but you can't have two versions of Accounting 2008 installed. The setup wizard will prompt you to remove the version that you have installed.

Installing Accounting Professional with Accounting Express or Accounting Standard installed

When you install Accounting Professional on a computer that has Office Express or Office Standard already installed, the wizard will prompt you to remove the currently installed version.

  1. Start the Microsoft Office Accounting 2008 Setup Wizard. The wizard will prompt you to remove the currently installed version of Office Accounting. (Remove is the default option.)

  2. Click Next.

  3. On the Select components to remove page, clear the Microsoft SQL Server 2005 Express (MSSMLBIZ) check box.

  4. Click Next and complete the removal of the installed version of Accounting 2008.

  5. After the version of Accounting 2008 is removed, start the setup wizard again and complete the installation of the new version.

    When you start the new version of Accounting 2008, it will automatically open the company that you created in the version that you removed.

Reattach a company database

If you uninstall Accounting 2008 without clearing the the Microsoft SQL Server 2005 Express (MSSMLBIZ) check box, the setup wizard will remove SQL Server 2005 Express and sever the connection between the company database file and the server. When you install the upgrade version of Accounting 2008, you will not be able to open your company file until you attach it to the server.

To attach the company database to the SQL Server 2005 Express server, do the following:

  1. On the Start menu, point to All Programs, point to Microsoft Office, point to Microsoft Office Accounting 2008 Tools, and then click Data Tools.

    Note: In Windows Vista, right-click Data Tools, and then click Run as administrator.

  2. In the Microsoft Office Accounting Data Utilities dialog box, on the Advanced Tools tab, click Attach.

  3. In the Attach a Database dialog box, click Browse.

  4. In the Select data file to attach dialog box, select the database file for your company, and then click Open.

    Note: The database file is located at C:\Program Files\Microsoft SQL Server\MSSQL.1\MSSQL\Data. The Select data file to attach dialog box should open to that location by default.

  5. In the Attach a Database dialog box, click Attach.

Installing Office Accounting Premier 2008

Office Accounting Premier 2008 includes a one-year subscription to Payroll for Office Accounting and eBay. If you have a current subscription to either service, you will not be able to use the prepaid services. The prepaid service with Accounting Premier will not extend your current subscription.
