Share your file in Excel 2016 for Mac

If you want to share your spreadsheet, you can:

  • Save it to the cloud, and then invite people to view or edit it.

  • Save it to the cloud and send a link to the spreadsheet.

  • Send a copy of your spreadsheet as an email attachment.

Send an invitation to share your spreadsheet

Save your spreadsheet to the cloud and then invite people to view or edit it. That way, whenever you update your file, everyone you share with will have the latest version.

  1. In the upper-right corner, click the Share icon and then click Invite People.

    If you haven't saved your spreadsheet to the cloud, you'll be asked to do that first.

  2. To invite people, add their email addresses and a short message. When you add a name for the first time, Excel might prompt you to access your contacts.

    If you want people to edit your spreadsheet, check the Can Edit box.

  3. Click Share. Everyone you invite will get an email with a link to the shared file.

Send a link to your spreadsheet

After you save your spreadsheet to the cloud, you can share the spreadsheet by sending people a direct link to it.

  1. In the upper-right corner, click the Share icon and then click Copy Link.

    If you haven't saved your spreadsheet to the cloud, you'll be asked to do that first.

  2. If you want the recipients to read and edit the spreadsheet, click View and Edit. If you don't want them to edit, select View-Only.

    Paste the link into an email or message app, and send it to the people you want to share your spreadsheet.

If you don't want to save your spreadsheet to the cloud, you can share it as an email attachment.

  1. In the upper-right corner, click the Share icon and then click Send Attachment.

  2. Click Workbook or PDF.

  3. Excel will open your email application and attach your file to a new message. Just fill in the details, like email addresses and a short message, and click Send.
