Prevent changes to a Visio file

Use document protection settings

Document protection requires the Developer tab to be visible. By default, this tab is hidden.

View the Developer tab

  1. Click the File tab.

  2. Click Options.

  3. Click Advanced, and scroll down to the General section.

  4. Select Run in developer mode.

Turn Protect Document on

  1. On the Developer tab, in the Show/Hide group, select Drawing Explorer.

  2. Right-click the name of the drawing that you want to protect from unauthorized changes, and then click Protect Document.

  3. Select the items that you want to prevent users from changing, and then click OK.

  4. On the Developer tab, in the Shape Design group, click Protection.

  5. Select the check box next to From selection, and any other options you want.

To remove document protection, right-click the file name in the Drawing Explorer, and then click Protect Document. Clear the check boxes for the items from which you want to remove protection, and then click OK.

Save the diagram in PDF or XPS format

  1. Click the File tab.

  2. Click Save As.

  3. In the Save as type list, click PDF (*.pdf) or XPS Document (*.xps).

  4. Click Save.
