Organize a live event in Yammer

Create, produce, and host live events for people in your Yammer network, with built-in discussions that can be used before, during, and after the event. You can make the video available after the event, so that people who can’t make it at the scheduled time can still participate.

Here's what you need to do:

Step 1: Create and schedule your live event

Create the event in a Yammer group, which automatically takes you to Teams to schedule the event.

Step 2: Promote your event

Let everyone know about the live event. Get the links to the event page from Yammer or from the event details page in Teams.

Step 3: Produce your event

Start the event, start the video, moderate the discussion, and end the event.

Step 4: Follow up afterwards

Continue the discussion after the event.

Step 1: Create and schedule your live event

  1. In Yammer, go to the group in which you want to host the event.

  2. Under Group Actions, select Create a Live Event.

Group actions menu showing Create a Live Event

Note: If you don't see a Create a Live Event link, your account or group doesn't meet the requirements listed in the FAQ below. Please contact your IT admin for help.

This takes you to Teams to schedule the event. You are automatically made a producer of the event in Teams.

  3. When you see Did you mean to switch Apps?, click Yes.

  4. Fill in the title, dates, start and end times, and details for the event.

  5. In the Invite people to your event group box, add the names of your event group—the people who will be producing, presenting, and moderating the event.

For more information about roles, see Event group roles.

  6. In the Organizer section, select your role as Producer or Presenter.

  7. Click Next.

  8. Under How will you produce your live event, select your production method.

    Reasons to choose this method

Select this if the presenter will video themselves from their computer.

Attendees get to the event from a link in Yammer, watch the video in Teams, and can participate in the Yammer discussion either from Teams or Yammer.

    An external app or device

Select this if you have multiple sources for your video. This is useful for high traffic studio-produced events require using an external encoding device or third-party encoding software.

When you choose this event type, attendees can view the video directly from Yammer, Teams, or Stream. All the conversations will be stored in Yammer.

  9. Select the options for your production method.

    • If you selected Teams, select your preferences:

Options for new live event produced in team
      • Recording available to producers and presenters: A recording is available on the event page for producers and presenters to view for 180 days after the event is over.

Recording available to attendees: A recording is available on the event page for attendees to view for 180 days after the event is over.

      • Captions: Select whether you want captions available after the event, the language that will be spoken during the video, and up to 6 languages in which to automatically translate the captions.

      • Attendee engagement report

      • Support: You can enter a URL for contacting support in your organization. This will be displayed on the live event page.

    • If you selected An external app or device, select your preferences.

      • Captions: Select whether you want captions available after the event, and the spoken language used in the video.

  10. Click Schedule.

You'll see a summary of the event.

  11. Now, invite others to attend your live event by sharing the attendee link. There are several ways to get the links:

    • From within this page in Teams, click Get attendee link and copy the links to share in Yammer, Teams, and Stream.

From the Teams page for a live event, you can get the URLs to advertise the event

    • From within Yammer, click the event you've created, and under Event Actions, select Get Yammer Attendee Link and copy the link to share in Yammer, email, or putting the link in a calendar invite.

For more ideas, see Step 2: Promote your event.

  12. Once you are done scheduling the event, click Close.

    • After you close the event, you can return to the Teams calendar to change the event information. To find the event in Teams, click the Teams calendar, and then click the link for the event.

Step 2: Promote your live event

Use the Yammer attendee link (found on the event page in Teams or Yammer) to invite attendees to join your event.

Here are some ideas for how to promote your event:

  • For public groups, post an announcement in the group with a link to the event page. For wider reach, you can also post an announcement in the All Company group.

  • For private groups, post an announcement in the group with a link to the event page.

  • Send an email with the link.

  • Send a meeting invite in Outlook or Teams containing the link.

Step 3: Produce your live event

Events are produced in Teams. How you produce your event (using Teams to encode the video stream or using an external app or device) depends on what you chose when scheduling your event.

Produce your broadcast

Note: Your attendees will be able to view a live event in Yammer if you are using an external app or device to broadcast your event. Viewing Teams encoded events in Yammer is still in Preview.

Moderate the event

To moderate the event, view the event from the Yammer event page. You'll see conversations specific to the event, and can respond as needed. You can also tag a post with a topic, follow a post, or bookmark specific questions or comments you want to follow-up on.

For more details on how to organize Yammer content, see Tips for staying organized in Yammer.

Step 4: Follow up after the event

The Yammer conversation remains open after the event for follow-up questions and comments.

You can view reports and recordings in Teams. For more information, see Manage a live event recording and reports in Teams.

Q: Which groups can have live events?

You can host a live event in any public or private Office 365 connected group, except for the All Company group. To determine if your group is an Office 365 connected group, see Is my group in Yammer connected to Office 365?.

  • If you are creating an event that is open to all employees, use a public group so that any group members or non-members can view and participate.

  • If you want to restrict who can join and participate in the event, use a private group, and then only those with membership in the Yammer group can participate in the event.

Q: How can I cancel a scheduled live event?

  1. Go to the event:

    • In Yammer, go to the group page, click the event in the right pane, and then click Edit Event. This takes you to the Teams details page for the event.

    • Or, if the event is in the next 7 days, you can also cancel the event from Teams. On the left side of the app, click Meetings Meetings button and then find the event in the calendar.

  2. Click Cancel Event. This cancels the event in Yammer and Teams.

  3. If the event has been live for a while, post a message in the group saying that the event was cancelled.
